Job Overview
We are seeking a detail-oriented and proactive Real Estate Office Assistant to join our team. The ideal candidate will assist with administrative tasks, customer service, and general office operations to support our real estate team. The role requires excellent communication, organizational skills, and the ability to multitask in a fast-paced environment.
Responsibilities
- Provide administrative support to real estate agents and office staff.
- Answer phone calls, emails, and inquiries from clients and potential customers.
- Maintain and organize client files, contracts, and other important documents.
- Prepare and process paperwork for real estate transactions.
- Schedule appointments, property showings, and meetings for agents and clients.
- Assist with the preparation and distribution of marketing materials (flyers, brochures, online listings).
- Manage office supplies and ensure the office is well-organized.
- Coordinate and maintain calendars for meetings, inspections, and other appointments.
- Handle basic bookkeeping tasks, such as invoicing, accounts payable/receivable, and tracking commissions.
- Assist with the preparation and review of contracts, agreements, and other legal documents.
- Stay up-to-date with local real estate market trends and regulations.
Requirements
- High school diploma or equivalent.
- Previous administrative or office experience, preferably in a real estate setting.
- Proficient in Microsoft Office Suite.
- Familiarity with real estate software and MLS systems (preferred but not required).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to work effectively both independently and as part of a team.
- Detail-oriented with a proactive attitude.
- Ability to handle confidential information with discretion.
- Knowledge of basic real estate terminology and processes is a plus.
