What are the responsibilities and job description for the Executive Assistant position at Mother?
As part of the Mother Los Angeles Support team the Executive Assistant’s objective is to help ensure effective daily operations of the agency through logistical oversight for Agency leadership. While general responsibilities are the same across the assistant team, individual assistant’s processes and methods will vary based on the workload and needs of their supports.
The role requires someone who maintains a helpful attitude and:
- is punctual, adaptable, and proactive.
- has administrative and/or executive support experience, agency preferred.
- is independent and self-motivated but also able to work collaboratively with a variety of agency stakeholders.
- can exercise good judgment around confidentiality.
Hours: 9:00 AM – 6:00 PM, Monday-Friday
- We currently provide WFH flexibility Thursdays and Fridays
- Assistants should be comfortable with being contacted outside of business hours, as needed
PRIMARY RESPONSIBILITIES
Communication - As an extension of their direct supports, Assistants at Mother are expected to be excellent in communication, both written and in-person. Interaction with all levels of stakeholders in the agency and clients should be approached confidently with a strong attention to detail.
Calendar Management – Proactively organizing their direct support’s time to ensure their schedule aligns with strategic objectives and communicates availability to their availability to their teams. Constant evaluation of schedules and forward planning are necessary to address any challenges that may arise.
Travel Management – Organizing all facets of their support’s travel - this includes air and ground, domestic and international – in a way that supplies all the appropriate information quickly and easily and anticipates the changes that are frequently common with corporate travel.
Expense Tracking & Fulfillment – Processing their support’s travel and entertainment expenses in a quick and systematic manner. Expenses should be submitted weekly and may require the tracking down of receipts through third party sources, including restaurants, travel agents and online accounts.
Assistants and Admins are expected to cover 3-5 supports, as needed.
Other Responsibilities May Include:
- Meeting/Presentation prep and breakdown
- Assisting with the preparation of research, reports and presentations
- Assisting in event planning, hosting & client entertainment
Job Type: Full-time
Pay: $75,000.00 - $90,000.00 per year
