Reports to: Financial Department Supervisor
Mount Laurel Animal Hospital is looking for a strong Client Service Financial Coordinator who has expertise in client service and financial processes who is collaborative with all levels of staff and is detail oriented. The successful candidate will facilitate a smooth financial process with effective communication with all departments and all level of staff and clients. Critical thinking and the ability to solution proactively and professionally is imperative. The successful candidate will coordinate the client admit, checkout and discharge process, as well as in-patient treatment charge capture, all aspects of client communication and execute financial processes in accordance with hospital protocol. This role is in person and client facing. This role also regularly interacts with our general practice, specialist, and emergency clients, doctors, and staff. We are looking for talent with white glove customer service skills, who can multitask, be a team player and grow with our practice. We strive to excel at customer service, delivering multifaceted solutions for our clients and their pets.
Responsibilities:
● Process and oversee open/pending client invoices as well as the client checkout process.
● Perform daily client financial review; reconcile estimates against current balance.
● Review and update daily charge entry for hospitalized in-patients; manage in-patient census, reconcile with treatment orders. Reviews in-patient invoices before hospital discharges
● Assists with the delivery of treatment plan estimates as well as procuring updated estimates from staff veterinarians when patient is approaching the upper limits of the original estimate. Communicates and reviews updated estimates with owners, obtains permission to treat and secures additional financial deposit while applying applicable discounts.
● Serve as financial contact to referring Veterinarians, clients, doctors, management team for changes needed within treatment plan and related finances/payment options.
● Daily close and reconciliation of financials. Prepare deposit for Financial Supervisor.
● Schedule and/or coordinate patient discharges with owners, coordinate with PCT handling treatment, partner and advise and update CSR’s consistently with financial updates.
● Perform financial audits as assigned. Manage payment plans, and accounts receivables.
● Assist clients with third party billing applications.
Experience and Education:
● Education or experience in veterinary technology, accounting (A/R), and customer service preferred.
● Knowledge of computerized patient information and billing systems preferred. Knowledge of EZYVet experience preferred.
● Strong computer literacy with proven expertise in Microsoft and Google programs; prior knowledge of or ability to learn EZYVet.
