Overview
The Executive Assistant provides a full range of support for the Executive Director and key leadership staff to enhance organizational efficiency and support achievement of the vision, strategic plan, and organizational goals of Mountain View Community Development. The objective of this role is to ensure the Executive Director and key leadership staff have the resources, information and daily administrative support to effectively lead and manage the organization.
Duties
- Board Reports and Meeting Preparation: Prepares reports and other documents for the board, and coordinates board meetings and hospitality.
- Grant Oversight: Oversees grant disbursements ensuring proper use and timely spending of funds, and prepares and submits grant reports.
- Calendar Management: Schedules appointments, manages meeting requests, and coordinates calendars.
- Correspondence Management: Manages incoming correspondence including emails, social media questions, hard mail and requests for public speakers and presentation.
- Staff Meeting Coordination: Prepares staff meeting agendas and materials, and takes minutes, and follows up on action items.
- Document Preparation: Drafts emails, letters, presentations, and reports.
- Expense reporting: Tracks and submits expense reports.
- Office Management: Maintains filing systems, orders supplies, and manages office logistics.
- Project Management: Assists with special projects as needed.
- Representation: May attend and participate in meetings on behalf of the executive director.
Experience
- Excellent communication skills: Both verbal and written, to effectively interact with internal and external stakeholders.
- Strong organizational skills: Ability to manage multiple tasks and deadlines efficiently.
- Attention to detail: Ensuring accuracy in all administrative tasks.
- Discretion and confidentiality: Handling sensitive information appropriately.
- Proactive problem-solving: Identifying issues and taking initiative to resolve them.
- Proficiency in office software: Microsoft Office Suite, Google Docs, calendar applications, and other relevant software.
- Proven experience in an executive leadership role or similar capacity within an organization.
- Demonstrated project coordination skills with a track record of successful project management.
- Experience providing executive administrative support is highly desirable.
