Job Classification : Non-Exempt, Full Time

Reports To : Director of Finance and Director of HR (shared role).

Pay Range : Minimum : $18 / hr

Midpoint : $22.50 / hr

Maximum : $27 / hr

Job Summary :

The Accounts Payable and Human Resources Coordinator is responsible for managing A / P and assisting with human resources compliance functions. This role supports both finance and HR. The ideal candidate will have strong attention to detail, excellent organizational skills, the ability to handle confidential information with integrity, and will be a self-starter who is able to work independently.

Essential Duties and Responsibilities :

A / P Finance Functions :

  • Review and Process Purchase requisitions
  • Entering invoices in ERP system (experience in Blackbaud a plus)
  • Entering Credit Card invoices and receipts into the ERP system and ensuring proper approvals.
  • Maintain art stipends and calculations of artists commissions
  • Vendor management
  • Issuing Payment manual checks, Electronic Funds Transfers (EFT) and ACH Preparation.
  • Review, Calculate and file Sales Tax
  • Review expense reimbursement

Human Resources Compliance Functions :

  • Manage employee Trainings, schedule and follow up for compliance.
  • Enter all data changes to employee records : documentation inclusive of pay rates, new hires / terms, Benefits, auto insurance and Training updates in the payroll system (experience in iSolved a plus)
  • Assist with Reporting for annual open enrollment, Benefits feeds to providers, and monthly rosters.
  • Process Benefit Invoices and Employee Premium review, inclusive of 403B monthly.
  • Complete 403B set up of new hires and collect paperwork if not enrolling
  • Help maintain employee files as needed to prepare for Audits. Support the filing of new hires and terminated files (paper & electronic).
  • Run Monthly OIG, SAM and MI Sanction List
  • Support Recruitment inclusive of posting job vacancies, adding to job boards, scheduling interviews, doing phone screens (as needed) and setting up background checks / screens
  • Respond to employee inquiries of A / P and HR questions
  • Maintain confidentiality of sensitive and confidential information
  • Completes other miscellaneous duties as assigned.

  • High level of attention to detail essential.
  • The ability to enter data accurately and good mathematical skills are essential.
  • Proficiency in Windows environment, basic Internet, and e-mail operations. Experience in Microsoft Excel, including being able to create, format and manage spreadsheets required.
  • Must be organized, able to work in a fast-paced environment and handle multiple tasks with precision and thoroughness.
  • Demonstrate excellent customer service skills.
  • Ability to plan, format, and execute projects and routine duties in an accurate and timely manner, as directed.
  • Effective communication skills- oral, written, and interpersonal skills essential.
  • Excellent work ethic and dependability.
  • Must be able to work both independently and in team environment.
  • Criminal records, driving and recipient rights screening required.
  • Reliable transportation. Will need to get to employee trainings or may travel to multi locations for business needs.
  • Education and Experience :

  • Associate's degree in related field or High school diploma or general education degree (GED) with minimum of one years related accounting and / or Human Resources experience.
  • Physical Requirements :

  • May occasionally require lifting up to 35 pounds.
  • Work Conditions :

  • May be exposed to bloodborne pathogens, infectious diseases, and parasites.
  • Salary : $18 - $27
