The RoleWe are seeking an experienced Portfolio Senior Project Manager to join our team and lead large, complex organizational projects across various departments. This key position is critical to driving the successful execution of high-priority projects, often strategic in nature and approved by the Board of Trustees. You will mentor and guide other project managers and team members, ensuring that project management methodologies are followed, best practices are applied, and projects are completed successfully within scope, budget, and timeline.You will collaborate closely with cross-functional teams, communicate with senior stakeholders, and play a vital role in the development of project plans, change management strategies, and business processes. This position offers a dynamic and impactful opportunity to contribute to the organization's most important projects.This is a full-time, fully on-site role at our club in Portland, OR.
What You'll Do
Lead Complex Projects: Manage the execution of large-scale projects across multiple functions, ensuring alignment with strategic goals. These projects may range from systems implementations to process improvements.
Mentor and Coach: Guide and mentor less experienced project managers or team members with project management responsibilities, ensuring adherence to best practices and methodologies.
Develop & Manage Project Plans: Oversee the development and management of comprehensive project plans, including scope, budget, schedules, resources, and risk management.
Stakeholder Communication: Work closely with MAC staff, stakeholders, and the Board to develop project scope, estimate costs, and prepare proposals and status updates. Ensure clear and consistent communication throughout the lifecycle of each project.
Contract Management: Manage RFI’s, RFQ’s, RFP’s, and contracts for projects. Negotiate contracts, manage change orders, and oversee third-party service providers to ensure contract compliance and timely issue resolution.
Risk Management: Monitor project progress and escalate risks and issues proactively, ensuring alignment with project goals and strategic objectives.
Business Process Improvement: Lead the development of business process maps and operational procedures, ensuring they align with project requirements and improve organizational efficiency.
Change Management: Develop and execute comprehensive change management plans to ensure smooth transitions during project implementations and systems selections.
What You'll Bring
Education & Certification: A Bachelor’s degree in Project Management, Business Administration, or a related field. Project Management Professional (PMP) certification or progress toward certification is a plus.
Experience: A minimum of 5 years of project management experience, with a proven track record of successfully leading complex, multi-phase projects. Experience managing systems implementation and selection efforts is highly preferred.
Leadership: Experience mentoring and coaching other project managers or team members, fostering a culture of best practices in project management.
Technical & Analytical Skills: Expertise in project administration, contract management, budget control, and financial forecasting. Ability to analyze technical data, prepare specifications, and estimate project costs and timelines.
Communication Skills: Exceptional written and verbal communication skills, with experience preparing and delivering presentations to senior leadership and stakeholders.
Industry Knowledge: Previous experience in private clubs, athletic organizations, food service, or hospitality is preferred.
Problem-Solving & Decision Making: Strong analytical abilities and the capacity to make sound decisions independently, always keeping the organization’s best interests in mind.
Team Collaboration: Ability to work effectively within cohesive teams, both internally and with external agents, to meet project goals.
Change Management: At least 2 years of experience in developing and executing change management strategies for significant projects.
