POSITION DESCRIPTION DETAILS
The Customer Service Representative is responsible for providing exceptional customer support by handling incoming calls, emails, and inquiries in a professional and timely manner. This role ensures seamless service operations by scheduling appointments, coordinating with technicians, processing work orders, and assisting with billing and collections. The Customer Service Representative is detail-oriented, highly organized, and skilled in multitasking while maintaining a customer-focused approach.

RESPONSIBILITIES INCLUDE
- Answer and respond to incoming customer calls, emails, and inquiries in a timely and professional manner.
- Schedule service appointments and coordinate with technicians to ensure efficient job completion.
- Process and manage work orders, including data entry, tracking, and documentation.
- Collect past due invoices.
- Provide accurate information regarding services, pricing, and scheduling to customers.
- Assist with invoicing, billing, and payment processing as needed.
- Maintain and update customer records in the company database.
- Follow up on work orders.
- Collaborate with the Service Manager and team to improve service operations.
- Handle customer complaints and escalate issues when necessary to ensure customer satisfaction.
- Perform general administrative duties, including filing, reporting, and organizing service-related documents.
- Provide reception coverage when needed.
- Complete other job duties as assigned.
QUALIFICATIONS INCLUDE
- 1-year experience in administration/support.
- High School Diploma or equivalent.
- Strong verbal and written communication skills with a professional phone demeanor
- Excellent customer service and problem-solving abilities
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment
- Proficiency in Microsoft Office (Excel, Word, Outlook) and customer database/CRM software
- Experience with scheduling, coordinating appointments, and following up on work orders
- Basic knowledge of billing, payment processing, and collections
- Ability to handle customer inquiries, resolve complaints, and escalate issues when necessary
- Team-oriented mindset with the ability to collaborate across departments
