Corporate Support Assistant
My Health Onsite operates onsite and near-site health and wellness centers. We deliver advanced personalized work-site healthcare solutions to employers that enhance patient engagement while proactively improving healthcare outcomes. Our medical team takes time to build strong relationships. No one is rushed in and out, and no one is a “number.” Patients may access a range of medical services including x-ray, an onsite pharmacy, wellness services, treatment for acute illnesses and chronic conditions. Our programs go beyond caring for the sick and injured – we make prevention our number one goal.
Schedule: Monday - Friday 8am-4p OR 8:30a-4:30p OR 9a-5p
Essential Responsibilities
Front Desk Duties:
- Greet and assist visitors, clients and employees in a professional and welcoming manner.
- Answer direct phone calls, taking messages as needed.
- Manage incoming and outgoing mail, including sorting, disturbing, and preparing shipments.
- Assist with setting up meetings as needed.
- Order office supplies for corporate office to ensure ongoing stock of supplies.
- Assist with organizing bulk mailings for marketing and HR purposes.
Records Management:
- Process incoming medical record requests in compliance with HIPAA laws related to PHI.
- Manage imaging billing processes.
- Track licensure renewals, such as business tax receipts , radiation registrations, and CLIA permits.
HR Assistant Activities:
- Support new employee onboarding assist with coordinating new hire orientation.
- May assist with payroll functions including answering employee questions, fixing processing errors and distributing checks.
- Assist with planning and execution of special events such as organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
- Assist with coordination of employee uniform orders and maintaining ongoing inventory records.
- Provide clerical support to the HR department.
Marketing Assistance:
- Provide support for marketing and recruitment initiatives, such as assisting with direct mail campaigns and promotional materials.
- Assist with distribution of marketing materials both internally and externally.
Other Duties:
- Assist in special projects as assigned by HR or management.
Minimum Qualifications
- Education: High school diploma or equivalent: Associate degree preferred.
- Experience: Previous experience in an administrative, receptionist, or HR support role.
Knowledge/Skills/Abilities
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Adobe Creative Suite experience a plus.
Essential Responsibilities:
- Assist the corporate team with various operational administrative tasks
- Assist with the preparation of documents & spreadsheets, drafting routine letters and other correspondence
- Track information on spreadsheets in Excel and/or other task management software and databases
- Maintain patient confidence and ensure confidentiality of patient care information by following all HIPAA laws
- Perform general office duties such as sorting mail, making copies, answering phone, scanning, faxing and ordering supplies
- Process incoming medical records requests
- Other duties and tasks as requested
Minimum Qualifications:
- High School Diploma
- Excellent customer service and organizational skills
- Prior experience in medical setting and with EMR
- Ability to take initiative, be proactive, flexible and responsible
- Strong knowledge of computer systems including Microsoft Outlook, Word, PowerPoint and Excel
- Ability to effectively communicate using excellent written and verbal skills
- Friendly personality and ability to work well as a team member
