Education: Bachelor's Degree or equivalent experience.
Experience: Three to five years experience in office operations in a professional services environment.

Position Summary
This position is responsible for assisting with the overall proactive and efficient operations of the office. The Office Coordinator will work under the direction of the Regional Office Manager and Office Managing Parnter in coordinating office operations.
Job Duties And Responsibilities
- Responsible for facilitating efficient office operations; adherence to Firmwide policies, procedures, and initiatives; and coordination of activities with other offices and support functions throughout the Firm.
- Lead liaison with Office Managing Partner and point of contact for other firm personnel.
- Examine office operations and activites with respect to best practices and make recommendations to enhance efficiencies and promote continuous improvement.
- Work with the Regional Office Manager and/or Human Resources to resolve issues.
- Plan/coordinate office events.
- Ensure the office is regularly cleaned and maintained and make office assignments as appropriate.
- Submit work orders/handle facilities maintenance, which includes establishing and maintaining relationships with local building management and the landlord.
- Provide reception desk coverage as needed; greet guests, arrange for conference rooms and visitor offices.
- Update office floor plan, phone list and post updated documents to the office information page on the intranet.
- Coordinate preparation of check requests for Office Services invoices and receipts for reconciliation of firm credit card
- Participate in the orientation program for new hires.
- Oversee the ordering of all catering and office supplies.
- Order, coordinate, set-up beverages and catering for internal meetings, receptions and special events. Clean up and breakdown meetings and events.
- Manage, collect, and deposit all incoming checks into banking app.
- Responsible for daily mail processing/distribution, duplication, messenger services, and hospitality operations.
- Handle all tasks related to the arrival and departure of attorneys and staff including, shipment of files/belongings, office set-up, etc
- Place service calls with vendors and able to interact with technicians for equipment within the department and convenience copiers in the building.
- Provides back up records support as needed.
- Other duties as assigned
Requirements
