The Project Administrative Assistant plays a crucial role in supporting the Project Administrator and Project Managers by helping to ensure the smooth operation of project-related tasks. The primary responsibilities include providing day-to-day support to the Project Administrator processing subcontractor certified payroll, completing project reports, and assisting in various assigned tasks. The role requires strong organizational skills, attention to detail, effective communication abilities, and proficiency in Microsoft Office. The ideal candidate should be able to work well under pressure, multitask efficiently, and maintain collaborative relationships with colleagues and management.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide day-to-day support to the Project Administrator.
- Process Subcontractor Certified Payroll.
- Complete Annual MODOT 1391 Reporting requests and distribution.
- Complete Monthly required MoDOT Workforce Reporting requests and distributions.
- Complete Monthly Required MoDOT Trainee Reporting requests and distributions.
- Scheduling and Coordinating Itineraries for Project Managers and members of leadership.
May assist the Project Administrator with the following responsibilities:
- Input contracts and projects into computer systems, including Public, State, and Local projects.
- Complete Pre-Construction Conference documents.
- Process subcontract paperwork and input into computer systems.
- Assist in the completion of Bid Book Forms.
- Assist in the completion of Contract Forms.
- Order Certificates of Insurance and Bid Bonds.
- Complete job billings for customers and subcontractors.
- Assist in out-of-state prequalification paperwork.
- Executing job closeouts.
- Generate and run reports requested by Project Managers.
- Assist with special projects and tasks as assigned.
REQUIRED SKILLS/ABILITIES:
- Maintain effective collaborative working relationships with management and coworkers.
- Demonstrate attention to detail and excellent organizational skills.
- Exhibit strong oral and written communication skills.
- Proficiency in Microsoft Office applications.
- Ability to multitask efficiently and adapt quickly.
- Work well under pressure, independently, and in a team.
- Collaborate effectively with various departmental managerial staff.
QUALIFICATIONS:
- High School Diploma or equivalent. (Required)
- Associate degree. (Preferred, not required)
- Construction Administrative experience preferred but not required.
PHYSICAL REQUIREMENTS:
- Prolonged periods sitting at a desk and working on a computer.
- Ability to navigate various locations and settings of the company.
