Position Objective:
To provide operational and administrative support to program administration, while completing various reports and projects to assist in the monitoring and achievement of program outcomes and milestone attainment.
Essential Functions:
- Creates and maintains program reports needed for funding sources and internal leadership, such as milestone and billing reports.
- Tracks actual performance to goal performance for all programs quarterly and prepares additional statistical data as needed.
- Prepares weekly performance reports on client engagement, placements, and retention.
- Assists in the billings for employment contracts and monitors receivables
- Trains staff on internal database data entry and reporting procedures
- Ensures that all client files have proper documentation, and that client information is entered accurately and timely into the database.
- Provides programmatic support to leadership team.
- Acts as liaison for IT and troubleshoots database issues.
- Able to run requested reports from Credible to assist with program monitoring
- Monitors, distributes, orders and reconciles MetroCard, Gift Cards and 180-Day incentives checks.
- Monitors, tracks, and orders office supplies
- Assist program director in preparing meeting agendas and note taking.
- Participate in meetings, staff development sessions and in-service training as assigned.
- Maintain and execute documentation and workflow through computer-based programs and technology that draws on basic software/computer skill set
- May be assigned other tasks and duties reasonably related to their job responsibilities. Performs other duties as assigned.
Educational Requirements:
- High School Diploma with 1 year of operational experience
Skills and/or Experience Required:
- Knowledge of performance based contracting and data analysis; experience supervising and evaluating staff; excellent oral, written communications and computer skills; knowledge of workforce development a plus.
- Working in an automated on-line system, demonstrates proficiency in use of applied information technology and on-line database systems; demonstrated keyboarding speed proficiency and accuracy preferred for a paperless case management system.
- Some prior professional experience working within a community-based organization or the government sector, directly serving an under-resourced population required.
- Experience working in employment services or in social service-related field preferred.
- Good verbal and written communication skills.
- Excellent organizational skills
- Ability to work a flexible schedule and to travel to various locations to carry out assigned duties.
- Effective problem solving and interpersonal skills.
- Basic computer software literacy and computer usage experience.
Salary: $45,000-$50,000 plus $3,000 sign-on bonus
