We are seeking a highly organized and detail-oriented Portfolio Administrator to join our team. This role combines lease portfolio management with accounting responsibilities, requiring strong analytical skills and the ability to manage multiple priorities for a variety of clients. The ideal candidate will excel in communication, collaboration, and adaptability in a fast-paced environment.
Key Responsibilities
Property Accounting and Financial Management
• Perform full-cycle accounting, including accounts payable (AP), accounts receivable (AR), accruals, reconciliations, and cash management.
• Review and code invoices in Nexus Payables or similar systems; ensure timely payment of mortgages, real estate taxes, insurance, and utilities.
• Allocate rent payments, security deposits, and other cash-related items in software.
• Prepare comprehensive financial reporting packages in accordance with client requirements and internal controls.
• Manage daily deposits, cash flow, and monthly bank reconciliations for multiple accounts.
Portfolio Management
• Abstract and audit leases, amendments, and other property documents, ensuring data accuracy in software systems.
• Notify clients of critical lease dates and deadlines.
• Review and negotiate landlord invoices, ensuring compliance with lease terms.
• Process requests for Certificates of Insurance (COIs) and assist with lease-related notices.
• Generate and distribute accurate financial and operational reports tailored to client needs.
• Manage subtenant invoicing, collections, and reconciliations.
Client and Team Collaboration
• Communicate effectively with clients, landlords, property management, and team members to address accounting and lease-related issues.
• Research, analyze, and resolve accounting and lease discrepancies, escalating issues as needed.
• Assist with administrative and property management tasks as required.
Additional Duties
• Perform other related duties as required.
Qualifications
• Bachelor’s degree in Accounting, Business Administration, Real Estate, or a related field.
• Minimum 2 years of experience in accounting, lease administration, or real estate. MRI software experience is preferred.
• Strong knowledge of lease agreements, financial reporting, and portfolio management.
• Highly organized with the ability to manage a high-volume workload and prioritize effectively.
• Proficient in Microsoft Office Suite and financial/accounting software.
• Excellent written and verbal communication skills.
• Proven ability to maintain confidentiality with financial records.
• A collaborative team player with a desire to learn and adapt in a dynamic environment.
