Job Description
The Executive Assistant directly supports the Executive Director and Board of Directors in executive-level administration and special projects administration including scheduling, communications, membership processing, payroll, accounts payable, member representation organization, and more. The Executive Assistant is ultimately responsible for high-level and confidential support for the top leadership of our union.
Job Duties
The Executive Assistant is primarily responsible for:
- Serving as a point person for questions and requests of the Executive Director
- Supporting meetings of the Board of Directors
- Managing commitments, calendars, and assisting in the scheduling of meetings and travel for the Executive Director and Board of Directors
- Reading, researching, and routing inbox correspondence
- Processing incoming mail and routing phone & email correspondence
- Preparing materials, including confidential financial, organizational, and personnel materials
- Processing membership materials, rosters, and dues
- Processing payroll
- Processing accounts payable
- Processing expenses and reimbursements
- Organizing, tracking, and supporting the member representation process
- Coordinating special projects and events as assigned by the Executive Director.
- Other duties as assigned by the Executive Director
Qualifications/Who Should Apply?

- Excellent written and verbal communication skills.
- Experience supporting executive leadership
- Experience handling legal documents and calendars
- Experience handling payroll and accounts payable
- Experience with office software including the MS Office Suite, google suite, and Quickbooks
- Protects confidentiality of staff and union members
- Commitment to social and economic justice
- The willingness to work long/irregular hours including nights and weekends.
- The willingness to travel occasionally overnight and a valid driver’s license and vehicle.
Salary & Hours
The Executive Assistant is a full-time, overtime exempt, confidential staff member, excluded from the NAPE/AFSCME Staff Union (NASU) with a salary range of $55,000-$75,000/year. Single coverage health insurance is provided at no cost, and generous vacation, sick leave, and paid holidays are offered.
