Summary

As an Administrative Specialist, you will be integral to the smooth operation of our organization, reporting directly to the Office Manager. Your role will encompass a variety of administrative tasks, including customer service, data entry, and calendar management. Utilizing your core skills in computer literacy and organizational abilities, you will ensure efficient office processes. With premium skills in office management and experience with multi-line phone systems, you will enhance communication and support our team effectively. Responsibilities

1. Greeting visitors:

  • Welcome and assist guests upon arrival.
  • Addressing inquiries and providing excellent customer service to all visitors.

2. Answering Phone Calls: Receiving incoming calls and directing them to the correct staff member.

3. Mail Management:

  • Receiving and distributing incoming mail and preparing outgoing mail.
  • Daily pick-up and delivery of mail to the post office.

4. Administrative Tasks:

  • Performing clerical duties like data entry and maintaining office supplies.
  • Assist in all phases of the vote-by-mail process and processing petitions for candidates and constitutional initiatives.
  • Order office supplies.
  • Coordinate travel.
  • Coordinate facility maintenance requests.
  • Assist with accounts payable.

5. Maintaining Reception Area: Ensure the lobby and public areas are neat and presentable.

6. Community Outreach:

  • Assist with community outreach events, voter registration drives, school elections, election worker training, etc.

7. Election Preparation: Prepare precinct cabinets with the proper supplies for Early Voting and Election Day.

8. The person in this position frequently communicates with and assists customers and/or co-workers. Must be able to exchange accurate information in these situations.

Mandatory Conditions of Employment:

  • In connection with the performance of this position, employees may obtain access to reports, records, plans, and programs containing highly confidential information. Employees must utilize utmost integrity to safeguard the public and Supervisor of Elections interests.
  • This position requires knowledge of Florida and federal laws, rules, and procedures relating to election laws, the Florida Public Records Act, and all other legal requirements relating to the operation of Nassau County's constitutionally elected public official, Supervisor of Elections Vicki Cannon, and the Nassau County Supervisor of Elections Office.
  • A Valid Class "E" driver's license is required.
  • Work requires occasional travel to meetings, conferences, training seminars, etc.

Authority/Decision Making:

  • Limited supervision: work is regulated or supervised thoroughly, but not continuously; follows established methods and procedures, refers exceptions to the supervisory personnel.
  • Mistakes and errors in judgment can be significant due to the very nature of the work.

Educational Requirements:

  • Graduation from high school or an equivalent recognized certification.

Required Knowledge, Skills and Abilities:

  • Data Entry: 7,000 to 10,000 keystrokes per hour with minimal errors
  • Typing: 45 wpm with minimal errors
  • Must be able to comprehend, speak, and proficiently write English.
  • Must possess good interpersonal and communication skills and be able to work as part of a team.
  • Must possess at least three (3) years of related experience, including a clerical position with a high level of discretion and independent judgment in the performance of the prior position.
  • Must maintain the high integrity of the Office of the Supervisor of Elections, including conducting non-partisan actions in election and voter registration work.
  • Must be able to operate general office equipment, including but not limited to proficient computer use and required Office programs.

Physical requirements:

  • Work is performed in a typical office environment.
  • Applicants must be able to lift 25 pounds occasionally and/or with a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
  • Must remain stationary 50% of the time to perform basic keyboarding and other repetitive motions.
  • Must be able to constantly move and position self to retrieve files, replace files, etc.

Job Type: Full-time

Pay: $16.82 - $19.00 per hour

Expected hours: 40 per week
