Job Overview:
National Facility Resource Inc. is seeking a highly organized and detail-oriented Bookkeeper/Project Coordinator to join our team. The ideal candidate will handle all company bookkeeping functions (accounts payable, accounts receivable, billing, reconciliations and communication with CPA) as well as provide support to our facilities management team by ensuring successful and timely completion of projects.
Key Responsibilities:
Billing Functions (80%)
- Work in QuickBooks to complete NFR invoices and ensure timely billing completion in customer platforms.
- Work in QuickBooks to reconcile financial records and prepare reports for management review.
- Work with owner and GM to manage accounts payable, accounts receivable and perform all account reconciliation.
- Overlapping bookkeeping responsibilities for sister company.
Project Coordination (20%)
- Follow-ups with contractors assigned to projects to execute and close out work orders promptly at the direction of the project manager.
- Work with the project management team to identify and escalate open work orders that are falling behind customer SLA requirements.
- Follow up with contractors on completed projects to ensure timely delivery of invoices and supporting documents, including but not limited to after-photos, updated COI forms, sign-off sheets, and other required documents.
- Examine final vendor invoices to ensure pricing aligns with agreed-upon costs and rates between customers and project managers.
- Assist project managers in monitoring vendor performance and alert management if vendors fall short or are non-compliant.
- Utilize customer platforms to keep all open work orders up to date with detailed notes.
- Maintain organization throughout projects by using correct statuses and detailed notes within NFR’s work order system, Salesforce.
Qualifications & Skills:
- Proficiency in QuickBooks, Salesforce, and Microsoft Office Suite.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and problem-solving abilities.
- Ability to work collaboratively in a fast-paced environment.
