Job Overview
Natural Stone Institute, a non-profit membership organization is currently seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the CEO for approximately 6 months. The ideal candidate will possess experience working in a similar professional-level administrative role dealing with confidential documents, information, and details. This individual must have exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires a blend of administrative expertise and interpersonal skills to facilitate smooth operations within the organization.
Responsibilities
- Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements using Outlook Calendar and other scheduling tools.
- Prepare and transcribe BOD meeting minutes, reports, and other documents.
- Coordinate and plan meetings, events, or functions, ensuring all logistics are handled effectively (invites, follow-up calls, vendor interactions, etc.).
- Effectively and professionally manages the CEO's schedule to ensure efficient time is available for executive-level meetings, direct reports, and other departmental needs.
- Assist in the preparation of presentations and other materials for BOD meetings.
- Prepares and tracks financial and budget data in a spreadsheet.
- Handle confidential information with discretion and professionalism.
- Support various office management tasks to ensure a well-organized work environment.
Requirements
- A college degree preferred, or at least 6 years of executive-level administrative experience required.
- Minimum of 4 years working as an Executive Assistant or in a similar high-level administrative role.
- Strong computer literacy with proficiency in Microsoft Office Suite (especially Outlook Calendar and PowerPoint) and familiarity with databases.
- Excellent attention to detail skills and written communication.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Exceptional phone etiquette and interpersonal skills for effective communication with team members and external stakeholders.
