SUMMARY

Perform duties involved to coordinate the scheduling of maintenance task and inventory, utilizing Maintenance Connection Software. Assist Maintenance Manager and Maintenance Supervisors with data entry and maintain file systems.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist maintenance techs in identifying and obtaining parts for repairs and inventory.
  • Know and recognize quality products and practices, and act when defects are identified.
  • Develop and maintain vendor relationships.
  • Maintain a clean and orderly work area.
  • Champion of maintenance software.
  • Responsible for all maintenance spare parts and proper inventory levels.
  • Expedite critical orders.
  • Develop and maintain strong communication with different departments within the company
  • Coordinate restocking orders.
  • Generate PM and TPM work orders using Maintenance Connection.
  • Ensure parts are available to perform work orders.
  • Schedule repair and PM work orders.
  • Update Task List to improve workorder structure.
  • Upload work order information to maintain work order history file.
  • Seek and obtain spare part quotes for purchase orders.
  • Create PO’s in Maintenance Connection, Coupa, and SAP
  • Receive parts in Coupa and resolve any discrepancies
  • Work with the maintenance planner on kitting work orders
  • Other duties as assigned by supervisor.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The following list that follows is representative of the knowledge, skill and/or ability required:

  • Working knowledge of the Internet.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to interface effectively at all levels of the organization and with our customers.
  • Prior experience working with phone line systems.
  • Prior office experience with filing, data entry, and scans.
  • Ability to operate a telephone, fax machine, calculator, and computer proficiently.
  • Excellent customer service and interpersonal skills.
  • Proven motivated and reliable team-oriented worker.
  • Typing skills; Minimum of 40 wpm typing.
  • Strong computer skill with MS Office applications.
  • Punctual constant attendance required.

EDUCATION and/or EXPERIENCE

High School diploma or equivalent (GED) required; 2 years of college preferred; or three to six months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.

PHYSICAL DEMANDS

Approximately 50% of time is spent sitting, while frequently required to walk, stand and bend. Must be able to talk and hear well. Good vision is imperative.

The following lists physical demands and employee may perform on an occasional basis; lifting and average of 50lbs. crouch/heel/stoop/crawl and reach with hands and arms.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

POSITION TYPE/EXPECTED HOURS OF WORK

This is a Full Time Non-Exempt position 40 hour per week, and it may require working additional hours depending on business need requirements.
