ABOUT THE ROLE
Under general supervision, but in accordance with established policies and procedures, performs all duties of a receptionist for the corporate headquarters. Provides a professional, helpful and courteous first and lasting impression on members and other individuals entering the Credit Union's Corporate Center. Greets members and visitors and directs them to the appropriate staff member, branch or department. Responds to questions and/or provides information upon request from members (internal and external). Provides clerical support to the Executive office, as well as various officers and departments of the Credit Union.
WHAT YOU WILL DO (in descending order of importance)
- Greets visitors to the Credit Union in a courteous manner. Makes certain that they are attended to and directs them to the appropriate destination with a minimum of waiting time in the lobby. Notifies security of any suspicious or unauthorized persons that may enter the building.
- Retains a visitor sign-in log for those who enter the main entrance at headquarters including, but not limited to, vendors, guests, delivery services, visitors and members.
- Answers incoming telephone calls promptly and professionally. Routes telephone calls in a timely manner to the appropriate person or department within the Credit Union. Answers questions if knowledgeable on the subject matter.
- Maintains a safe, secure, and clean reception area by complying with procedures, rules, and regulations. Ensures front desk is always occupied during normal business hours Ensures area is locked and secure upon departing for the day.
- Provides support to the facilities department as needed including, but not limited to, reviewing camera functionality and creating/ adjusting access cards.
- Sorts and distributes incoming mail. Handles incoming deliveries accordingly and directs personal packages to designated area.
- Receives and logs all UPS, FedEx, USPS certified/registered mail, and other vendor deliveries as required. Creates shipping labels and schedule pick-ups as needed when requested by approved departments.
- Performs all other duties as assigned by the AVP, Facilities Manager or VP, Facilities.
QUALIFICATIONS:
Education
High school diploma or equivalent (GED) education required.
Experience/Skills/Knowledge:
- Excellent interpersonal skills using telephone communications and professionalism in greeting members and other visitors in person required.
- Must have strong service orientation in alignment with the credit union's mission and core values.
- A minimum of 2years of experience in an office setting required.
- Basic knowledge of Microsoft Word, Excel and Outlook required. Must be proficient in the use of calendar/scheduling features of Outlook in particular.
- Must have attention to detail and familiarity with office correspondence standards such as setup of memos, letters, envelopes, etc.
- Ability to function in a commercial office environment and utilize standard office equipment including but not limited to: fax, copier, telephone, etc. Must have the ability to lift up to25lbs. e.g. file boxes on occasion.
- Must have the ability to use discretion on potential sensitive and/or confidential matters and understand how and when to request assistance as necessary.
