Job Description
The Production Coordinator is responsible for various responsibilities in the daily operations of the daily shows En Casa Con Telemundo, La Mesa Caliente, AL Rojo Vivo, and Specials.
Responsibilities
- Support the Production Manager with the management of show costs by efficiently controlling expenses and preparing financial plans
- Handle relationships with vendors, including vendor vetting, facilitating contract terms, and payment inquiries
- Timely management of show expenses to include processing invoices, handling p-card transactions, ensuring proper coding of expenses, reviewing monthly actuals, and assisting with pacing reports
- Tracks orders & deliveries according to deadlines
- Responsible for maintaining purchasing logs for show
- Liaise with finance on information and requirements to process payments
- Build budget for projects assigned by the Production Manager
- Ensure proper legal documentation is secured, includes independent contractor agreements, appearance, location, and material releases for in-studio and on-the-field services
- Responsible for researching & coordinating the rental of equipment, locations, items, and any other show needs
- Assist with coordinating production requests such as booking cameras, catering, locations, transportation, and travel.
- Create and coordinate production calendars for remotes and special events
- Create Support Central requests for all onboarding needs
- Handle HR and Security requests for guests coming to TC
- Create and coordinate COVID-19 testing scheduling for staff and all guests coming to show if needed
- Coordinate and assist with multiple shows when required
- Works under the direct supervision of the Production Manager and is responsible for completing any other tasks as assigned by the supervisor
Qualifications/Requirements:
- Minimum of 2 years of experience in production, event coordinating, and office management
- Bachelor's Degree or equivalent of experience and/or additional education
- Must be fully fluent in English and Spanish (both written and verbal)
- Proficient in Microsoft 365 with particular emphasis and mastery of Excel
- Must possess excellent customer service skills and have a willingness to work as a team player
- Willingness to travel with short notice and on weekends
- Willingness to work flexible hours, including late and/or last-minute scheduling changes in a 24/7 production work environment
- Must be willing to work in the greater Miami, Florida area
- Must be 18 years or older
- Must have a valid driver’s license
- Must have unrestricted work authorization to work in the United States
- Must be covered by Solutions, NBCU’s Alternative Dispute Resolution Program
- Ability to work independently
- Ability to work in fast paced environment and adjust to last minute changes.
- Must be pro-active and creative in seeking out solutions to challenges that arise with each project.
- A self-starter with excellent communication skills, organized, a professional demeanor
