NE Disaster Solutions, a leader in the restoration and disaster recovery industry, is seeking a highly motivated Office Manager to join our team. This is a pivotal role where you'll ensure the smooth and efficient operation of our office while supporting a dynamic team dedicated to helping clients recover from unexpected disasters
Responsibilities
- Oversee day-to-day office operations, ensuring all administrative tasks are completed efficiently
- Manage communication between departments, clients, and vendors
- Supervise and support administrative staff, assigning and monitoring tasks as needed.
- Coordinate scheduling for estimating teams and field staff.
- Maintain accurate records of projects, timelines, budget, and client files.
- Process invoices, accounts payable/receivable, and collections.
- Ensure compliance with Industry regulations and company policies.
- Manage office supplies and vendor relationships to maintain a productive work environment.
- Assist with client inquires, providing excellent customer service and timely resolutions.
- Support HR functions including employee onboarding.
- Utilize phone systems efficiently to manage incoming calls and inquiries.
- Proficiently use QuickBooks for financial tracking and reporting purposes.
Qualifications
- Proven experience as an Office Manager, Administrative Manager, or similar role (preferably in the restoration or construction field)
- Strong organizational and multitasking skills with attention to detail.
- Excellent phone etiquette, verbal, and written communication skills for effective interaction with clients and team members.
- Proficiency in Microsoft Office Suite and other office management software.
- Familiarity with accounting systems like QuickBooks or similar platforms is a plus.
- Ability to lead a team, delegate tasks, and maintain a positive work culture.
- Problem-solving mindset with the ability to work under pressure and meet deadlines.
- Strong clerical skills with proficiency in various administrative tasks.
- Effective communicator who can convey information clearly and concisely.
- Familiarity with phone systems to ensure effective communication flow within the office.
- Proficiency in QuickBooks or similar accounting software is a plus.
- Knowledge of restoration or disaster recovery process is preferred but not required.
