Position Summary
The Executive Assistant manages special projects and meeting planning in addition to supporting multiple executives/departments.
Core Responsibilities
- Integral to productivity and effectiveness of various department heads
- Handle meeting planning activities for a variety of special events, both local to Fort Myers, FL as well as more broadly domestically and internationally
- Responsible for streamlining and outlining department efficiencies and accountabilities
- Vision to translate overarching department goals into action items and timelines to drive successes
- Works autonomously to achieve sharp gains while positively affecting productivity and overall impact
- Streamline workflow and trafficking of programs to ensure timely execution (this includes suggested technologies and process suggestions).
- Contract management and negotiation
- Oversee calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings
- Management of special projects as needed.
- Protection of executive customers and their teams’ time for efficiency purposes
- Communicates and handles communications, including the strength to build internal and external bridges.
- Oversee preparation of presentation materials utilizing PowerPoint, Excel, and Word
- Manage miscellaneous reports and documents
- Prioritizes and manages multiple programs simultaneously, and follow through on issues in a timely fashion
- Attends department meetings and company in-service trainings to enhance knowledge.
- Bachelors Degree preferred
- 10 years experience providing executive level support
- Project Management Certification strongly preferred
- Requires a high level of professionalism and integrity due to the frequency of senior-level internal and external contacts and regular exposure to high-level confidential data.
- High sense of urgency for critical projects and ability to quickly pivot to address changing needs.
- Excellent calendar management skills, including the coordination of complex executive meetings.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
