Job Title: Event & Meeting Specialist

Location: Cambridge, MA (hybrid)

Job Duration: 6 m Contract with potential for conversion



Primary Skills:

  • 1-2 years of experience with Event Management, event planning, event coordination, corporate meetings, executive assistant, or hospitality
  • Proficiency in Microsoft Office (Excel, PowerPoint, Outlook)
  • Strong organizational skills with keen attention to detail (Candidates should be professional, poised, polished, with business acumen and hospitality skills)
  • Excellent communication and interpersonal skills.
  • Ability to multitask and work effectively under tight deadlines.


Nice to have:

  • Bachelor's degree in Event Management, Hospitality, Marketing, or a related field preferred.
  • Knowledge of AV equipment and virtual meeting platforms (Zoom, WebEx, Teams) is a plus.


Responsibilities:

  • Executive Briefing Center (EBC) Coordination Manage scheduling, logistics, and on-site support for meetings held in the EBC.
  • Coordinate catering, audiovisual needs, and room setup to ensure seamless execution.
  • Act as the primary point of contact for internal teams and executives using the EBC.
  • Maintain an organized calendar of bookings and assist with attendee communications.
  • Ensure the Briefing center experience has been properly coordinated, planned and executed with sales/channels or management personnel Coordinate all pre-visit briefing logistics and planning requirements Recommend and secure corporate resources to support Briefings With input from the Sales team, identify and articulate briefing objectives Develop customized briefing agendas, scheduling and hosting pre-briefing meetings Facilitate demonstrations and facility tours for visiting high level executives and other clients Manage the inventory of customer briefing gifts and collateral Event Planning & Execution Assist in planning and executing corporate events (customer & internal) Support logistics including venue selection, vendor coordination, registration, and on-site execution.
  • Work closely with internal stakeholders to ensure alignment with business objectives.
  • Manage event materials, shipments, and promotional items as needed.
  • General Administrative & Support Tasks
  • Maintain event budgets, track expenses, and process invoices.
  • Prepare event reports, collect feedback and deliver metrics for continuous improvement.
  • Keep up with industry trends and recommend improvements for future events.

Including driving the execution for both customer & employee major events. We are focused on driving best practices and standardization for regional event activities as well as committed to creating exceptional and memorable attendee experiences across all Akamai events including digital, face-to-face & hybrid events.
  • The Event & Meeting Specialist will support the day-to-day operations of the Akamai Executive Briefing Center while also supporting the execution of events assigned by the Global Events Team. The ideal candidate is passionate about event planning, thrives in a fast-paced environment, and is eager to develop their skills in corporate events and meetings. This role is ideal for someone who is highly organized, detail-oriented, and comfortable communicating with internal teams, executives and external guests. The Event & Meeting Specialist will assist in planning and facilitating corporate briefings for customers, partners, and executives ensuring a seamless and professional experience.


About the Team:

  • This position is part of the Global Events team which is responsible for identifying and driving new or enhanced processes, tools, applications and curricula that increase the efficiency and effectiveness of the global sales force.


Qualification:

  • Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.
