At Neural Effects we give our patients the tools they need to recover from traumatic brain injuries and provide diagnosis, education, and therapy to patients with acquired brain injuries. Position Summary
The reception staff is responsible for greeting and assisting visitors and callers, checking patients in and out of appointments, patient scheduling, referrals, schedule management, and facilitating patient flow.
Primary Expectations
Staff in this position must display a high level of motivation, attention to detail, and responsibility. The receptionist must excel at engaging and developing a rapport with patients and actively engage with other team members to give patients a streamlined and personalized experience. The highest priority of this person should be to help patients feel comfortable, heard, and important.
Minimum Required Qualifications
- One year experience in reception or as an administrative assistant
- Two years experience in a customer service-oriented setting
- Experience and/or ability to effectively use a multi-line phone system
- Type at least 35 wpm
- Any equivalent combination of experience, training and/or education as approved by the manager
Essential Job Functions
- Greet and assist all visitors to the clinic in a friendly and welcoming manner
- Schedule new patients for appropriate appointment types
- Check patients in for scheduled appointments, verifying all demographic and insurance information
- Take co-pays and collect patient balances
- Check patients out following appointments
- Schedule patients according to recommended treatment protocols
- Make appointment reminder calls as needed
- Send forms, paperwork, and other intake documents to patients via email or EHR
- Create, compile, and send referrals to other providers via email and efax
- Thoroughly document patient interactions
- Maintain regular and punctual attendance
- Work cooperatively with others
- Comply with all company policies and procedures
Additional Responsibilities
- Ensure all office areas are neat and sanitary
- Maintain front desk area, ensuring all patient handouts are organized and accessible to providers
- Room patients, assist patients in getting started with therapy activities when required
- Perform other duties as assigned
Education and Experience
- One year experience in reception or as an administrative assistant
- Two years experience in a customer service-oriented setting
Physical Demands
Must be able to remain in a stationary position for up to 8 hours per day. Frequently moves about inside the office to access files, copy machines, etc. Constantly operates a computer, calculator, and copy or printing machines. May occasionally need to lift up to 50 lbs. Frequently communicates with patients, staff, and providers and must be able to express oneself clearly and accurately.
Work Environment
Work is performed in a temperature-controlled, indoor office setting. The work environment may sometimes be loud and distracting.
Schedule
The anticipated shift hours for this opening are listed below, applicants must be available to work the entirety of each of these shifts. Additional hours may be available depending on coverage needs, and the ideal candidate will be someone who is able to cover additional hours when necessary.
Mondays 9:00 AM - 5:00 PM
Tuesdays OFF
Wednesdays 9:00 AM - 5:00 PM
Thursdays 9:00 AM - 5:00 PM
Fridays 8:00 AM - 4:00 PM
