We are looking for an organized, detail-oriented, and proactive General Manager Assistant to join our team. This role plays a critical part in supporting the daily operations across our Clinic, ensuring seamless communication and efficient management of business operations.

Job Summary:

The General Manager Assistant will support the General Manager in overseeing and coordinating all aspects of business operations, including managing clinic activities and staff, facilitating training programs, and streamlining billing and coding procedures. This role requires a hands-on leader who can assist with disciplinary issues, liaise between senior management and staff, and ensure the accuracy of all operational processes while maintaining compliance with HIPAA regulations.

Key Responsibilities:

• Daily Operations Support: Assist the General Manager with planning, directing, and coordinating daily business operations across all departments, including the Clinic.
• Liaison Role: Act as a liaison between senior management and staff to ensure clear communication, efficient workflows, and business performance optimization.
• Staff Management and Training:
• Assist with disciplinary matters and monitor staff shifts.
• Support the hiring process, including interviewing and onboarding new employees.
• Train and supervise Medical Assistants, ensuring they are equipped with the skills necessary for their roles.
• Conduct Orientation Programs for new staff, including preparation of the agenda, coordinating with departments (e.g., Sandy), and setting up the training location.
• Ensure that all staff members are trained in key systems including Net Health, Wound Expert, and Wound Reference.
• Billing and Coding Support:
• Train Providers on billing procedures, including CPT codes, charges, and accuracy in coding.
• Develop and implement Provider training programs on billing and coding, specifically for Wound Care providers using iPads, consents, and insurance information.
• Streamline coding and billing procedures to ensure accuracy and compliance.
• Process Superbills and track Cellular Tissue Product through FedEx and update the tracking sheet in Teams.
• Train administrative staff on CPT code capture procedures and ensure all charges are accurately processed.
• Inventory Management:
• Oversee the management of medical inventory, including medications and equipment.
• Ensure timely ordering and tracking of supplies to prevent shortages.
• Compliance and Reporting:
• Monitor staff certifications to ensure they are up-to-date and compliant with industry standards.
• Prepare and communicate weekly patient status reports using Key Performance Indicators (KPIs) and add insights to weekly huddles.
• Team Collaboration and Scheduling:
• Schedule and facilitate weekly team huddles to review patient care, appointments, and address any concerns.
• Support the General Manager in the smooth coordination of team activities and departmental needs.

Qualifications:

• Education:
• High school diploma or equivalent required.
• Experience:
• Minimum of 2 years of experience in healthcare administration or operations management.
• Experience in training and supervising staff, particularly in a healthcare or medical setting.
• Familiarity with billing codes (CPT, ICD-10) and medical billing procedures.
• Experience with medical software systems such as Net Health, Wound Expert, and Wound Reference is highly desirable.
• Skills and Abilities:
• Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
• Excellent communication and interpersonal skills for liaising with various staff levels and departments.
• Detail-oriented with the ability to streamline processes and ensure accuracy.
• Strong leadership and staff management capabilities.
• Knowledge of HIPAA compliance and maintaining patient confidentiality.
• Proficiency in Microsoft Office Suite and familiarity with Teams, FedEx, and medical software tools.
