We are seeking a dedicated Administrative Assistant to join our team. The Administrative Assistant will be responsible for managing and collecting outstanding accounts receivable balances. Looking for someone to follow up on customer invoices via phone call and email and resolve overdue invoices while retaining good customer relationships. This person will also assist with some general office duties, such as filing. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
Responsibilities
- Calling and emailing clients to coordinate payment dates
- Demonstrating proper phone etiquette during customer interactions
- Maintaining and organizing Accounts Receivable Tracking tool
- Accurately record payment status
- Utilizing financial software to track and manage collections
- Providing exceptional customer service while resolving payment issues
- Updating client contact information
- Completing basic office task such as filing and invoice reconciliation
- Handle and coordinate active calendars
- Schedule and confirm meetings
- Ensure file organization based on office protocol
- Provide ad hoc support around office as needed
- All other duties as assigned
Qualifications
- Bachelor's degree or equivalent experience
- Strong interpersonal, customer service and communication skills
- Ability to multitask
- Visual acuity & manual dexterity
- Strong customer service skills to handle payment inquiries effectively
- Proficient in Microsoft Office
- Ability to negotiate payment terms with customers
Nice-to-have Skills
- Proficiency in financial software for collections purpose
- Experience in telemarketing or collections call center environment
- Experience with accounting software for accurate account management
- Proficient in financial concepts related to debt collection
Experience
- Microsoft Excel: 1 year (Required)
