Overview
The New Mexico Department of Justice has broad statutory authority over civil legal matters and proceedings involving the state. The Government Counsel and Accountability Bureau provides legal advise to over 100 Boards, Commissions, and Agencies around the State. The Division reviews complaints alleging OMA and IPRA violations and brings enforcement actions under state laws for these violations. The Division also provides review for other statutorily required AG review of school bonds, TRD abatements and refunds, former employee contract review, and jail agreements.

Responsibilities

This position will be assigned to assist the Government Counsel and Accountability Bureau Director and Deputy Director. Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, facilitating statewide training and travel, and other administrative support for the Bureau.How does it get done?This position often works independently on projects as assigned, but may also work in conjunction with the Bureau attorneys and other staff as required. Work is primarily performed on site in the Santa Fe office of the New Mexico Department of Justice.

Executive secretaries and administrative assistants provide high-level administrative support for an office and for top executives of an organization. Key responsibilities include providing high-level administrative support, preparing statistical reports, handling information requests, preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, facilitating state wide training and travel, and handle more complex responsibilities such as reviewing incoming memos, submissions, and reports in order to determine their significance and to plan for their distribution.

Coordinate and assist with preparation of any presentation materials, agendas, talking points, etc. for the Bureau. Accompany the Director to meetings and conferences. Occasional travel may be required.

Other responsibilities are to assist cross Bureau Directors and Deputy Directors in coordinating Division meetings and collaborations.

Experience

The ideal candidate will have experience in a high paced law firm setting, utilizing Microsoft Office applications, performing research, running reports, drafting memos and other important documents, strong knowledge of task management, time management, and organization, excels at learning new areas of law and takes initiative to learn quickly and dive into subject matter, and other administration and management support including coordinating high levels of travel arrangements and fiscal requests for attorneys within the Bureau.

The ideal candidate will have excellent verbal and written communication skills and experience working in a high volume and complex environment. The candidate must have the ability to multi-task and to switch tasks frequently with interruptions; handle challenging situations and/or individuals with diplomacy and compassion to achieve results tactfully, professionally, and successfully; disseminate accurate information to others; identify issues and problem solve; and work independently as well as in a team environment.

High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.

Job Type: Full-time

Pay: $38,140.00 - $61,024.00 per year
