Position Details: 

  • Full Time
  • Location: Van Nuys or Culver City

Key Responsibilities:

  • Provide day to day oversight of QA functions at the Van Nuys/ Culver City campus
  • Coordinate the agency’s URC process by pulling records for audit and overseeing the tracking of corrections.
  • Review the accuracy of data entered into the EHRS.
  • Track documentation issues and patterns and bring to supervisor to identify training issues.
  • Coordinate QA projects by organizing and assigning duties and reviewing work submitted by QA Administrative Assistants.
  • Provide training to QA Administrative Assistants as needed.
  • Assist with prepping client records for external audits and program reviews.
  • Complete internal auditing of client records.
  • Coordinate the purging of client records and maintain the database of charts that are active, archived, and purged. 
  • Approve billable Session Notes in the EHRS for the Van Nuys campus and oversee the approval of notes for the Sherman Oaks and Culver City campuses to ensure consistency in the approval/correction process. 
  • Respond to clinicians regarding questions about documentation and procedures.
  • Maintain access to DMH systems: IS, SRTS, PRM, etc. and update information as required. Assist with the agency’s conversion to IBHIS
  • Collect and fax monthly DMH Change of Provider and Cultural Competency Logs
  • Assist with the processing of school records requests. 
  • Oversee scanning of hardcopy records onto the EHRS and maintain scanning directory for consistency across all programs and sites.
  • Process transition of client records between provider sites across electronic systems.
  • Develop procedures for tracking paperwork due via the EHRS and alerting clinical staff regarding due and overdue paperwork so agency maintains compliance with DMH timelines.

Qualifications:

  • High School diploma or equivalent required; Bachelor’s Degree preferred
  • Ability to effectively prioritize completion of projects with competing deadlines
  • Efficient completion of assignments and ability to work collaboratively with the entire QA team
  • Must possess and exhibit a strong organizational ability and high-level attention to detail and accuracy
  • Computer and database experience required.  
  • Ability to effectively utilize electronic systems, including internal database, electronic health record system (Welligent), and Integrated Behavioral Health Information System (IBHIS)
  • Familiarity with HIPAA regulations and ability to actively protect the confidentiality of client information

The salary range represents the low and high end of the salary someone in this role may earn as an employee of The Help Group. Salaries will vary based on various factors, including but not limited to, professional and academic experience, certification, training, responsibilities of the position, and other business and organizational needs. The range listed is just one component of our total compensation package for employees. Salary decisions are dependent on the circumstances of each hire.
