What are the responsibilities and job description for the School Year Administrative Assistant (10 months) position at Newton Elementary School?
DUTIES:
1. Provide direct administrative assistance to the principal as well as site staff as required
2. Greet and direct all visitors in a friendly and professional manner
3. Operate a variety of general office equipment
4. Receive, process, and distribute incoming mail, deliveries and interoffice correspondence as well as prepare and process outgoing mail and packages as necessary
5. Provide public relations and liaison services between the principal, administrators, staff, parents, students, external agencies, and the general public by initiating, retrieving, and responding to various forms of communication as appropriate
6. Coordinate the flow of communications and information to support ongoing school operations
7. Create and distribute various materials, both physical and/or electronic, such as letters, forms, notices, lists, schedules, calendars, flyers, memos, etc. as necessary
8. Prepare, verify and submit payroll materials and purchase requisitions
9. Place requests for, and follow up on, technology, maintenance, and equipment repairs, and services
10. Assist with coordinating office and school events as instructed
11. Places and answers telephone calls to provide information, record messages, and screen calls
12. Composes and transcribes correspondence, bulletins, memorandums, reports, recommendations, and other materials
13. Responsible for the school filing system
14. Orders and maintains school supplies
15. Records financial transactions and balances school fund accounts
16. Keeps attendance records of students as well as administrative and support staff
17. Logs student and staff information and assists with data management and emergency management systems (PowerSchool, BlackBoard Connect, etc)
18. Assists in planning and execution of school emergency operations procedures (evacuation, lockdowns, accountability of staff, etc)
19. Helps teachers and administration coordinate volunteers in the school
20. Coordinates family telephone calls for events, delays, early releases, and cancellations
21. Coordinates student incoming and outgoing transportation including field trips
22. Handles student registration through coordination with the Registrar’s Office
23. Coordinates substitute coverage for absences of staff; provides instructions and distributes materials to the substitute and completes all follow-up work associated with absences
24. Performs administrative tasks to ensure the staff can work efficiently; perform copying, filing and general administrative support and attempts to correct malfunctioning equipment and/or alerts repair personnel to the problem
25. Maintains calendars of class/school events
26. Updates informational bulletin boards daily/ weekly
27. Works with other administrative assistants, secretaries, and central office administration to insure good office procedures
28. Maintains confidentiality in all matters related to student information, personnel and other matters of a confidential nature
29. Performs such other appropriate tasks as may be assigned

HOURS: Monday – Friday 7 hours/day not including ½ hour unpaid lunch
The position is a ten-month school position that has scheduled hours during weeks school is in session. The position begins two weeks (10 days) before teachers report, ends one week after the end of school, and includes one floating week during the summer (schedule determined by the School Principal).
SALARY: Per the negotiated Administrative Assistant Association contract
