Boutique CPA firm in Tulsa, OK seeking a highly organized and detail-oriented Executive Admin Assistant to join our Team. This position is designed for a person who prefers to be behind the scenes and has an heart for administrative support. It entails managing a highly detailed calendar and moderate volume of email. It requires and experienced admin with outstanding verbal and written communication skills. You will serve as a trusted partner in handling confidential information, while providing exceptional administrative support with professionalism and efficiency. Job Summary:
The Assistant will also provide immediate support to the managing director, including but not limited to handling email, scheduling, meeting preparation and follow up. They will play key role in scheduling and maintaining a balanced calendar that sets the leader up for success and limits overwelm. Special projects and duties will be assigned as needed.
Responsibilities:
- Manage calendars and arrange meetings based on leader’s preferences
- Manage communication with internal and external meeting attendees including pre-meeting material compilation & distribution, attendance confirmations and post meeting follow up.
- Review, manage and independently respond to the leader’s email as assigned
- Triage phone based communications to serve as a gatekeeper for the leader
- Support project assignments from the leader
- Prioritize matters that require the leader‘s attention
- Grow in knowledge to reduce the volume of leader-directed matter and increase self-directed matters
Knowledge, Skills and Abilities:
- Quick learner that is not easily overwhelmed
- Able to receive guidance and work independently with minimal supervision
- Excellent organizational and time management skills
- Proactive and solution focused with an aptitude for learning their leaders preferences and applying them consistently
- Strong attention to detail and problem-solving abilities

Experience:
- Administrative Support for C-Suite Executives: 5 years
- Calendar/Email Management: 5 years
Job Type: Part-time
Pay: $25.00 per hour
Expected hours: 20 per week
