Job Description
Purpose: This position provides administrative support to the Student Services office
using various district computer systems. Handles daily work pressures, requiring
constant concentration on a high volume of clerical work that must be completed within
a limited time. Must be able to successfully perform the essential duties and
responsibilities in an environment with constant interruptions. To accomplish these
tasks, the administrative assistant works closely with the staff and administration of the district.
Job will remain open until filled.
Salary is commensurate with background and experience.
Essential Functions:
? Performs a variety of office administrative duties which require a broad
knowledge of both secretarial and clerical practices and procedures
? Serves as Administrative Assistant to Student Services. The position requires a
thorough knowledge of all school functions, procedures, building facilities, and
applicable district and school rules, regulations, and policies.
? Coordinates all Education Verification and Transcript requests
? Inputs information into the USD 309 Nickerson HS calendar system
? Provides support in ordering all Pre-ACT, ACT, and WorkKeys testing materials.
? Provides support in planning Career Days, College Visits, and Guest Speakers
? Coordinates the Driver’s Education program for USD 309 students and out-
district students
? Provides support in working the USD 309 Enrollment Day each academic year,
which includes working with district office staff, building principals and staff at
SHE, NES, RVMS, and NHS on planning and implementation of processes for
students and parents
? Exercise considerable discretion in the protection and release of confidential
information and the interpretation and administration of policies and procedures
within guidelines set by the administrator.
? Performs all other tasks or duties assigned and directed by the superintendent of
his/her/designee
? Ability to implement and follow the vision and mission of the district.
? Ability to operate all equipment appropriately as required.
General Responsibilities
? Ability to implement and follow all school district policies at all times.
? Ability to respond to information request in a cooperative and timely manner
? Ability to implement and follow all district health and safety policies, including all
precautions of the Bloodborne Pathogens Exposure Control Plan
? Ability to appropriately communicate with students, teachers, parents, members
of the community, and others, including vendors, law enforcement, and other
agencies.
? Ability to exercise sound judgment and work in an environment with frequent interruptions.
Performance Responsibilities:
? Prepare emails/letters to students and parents
? Coordinates with other staff (i.e. master schedules, lunch/bell schedules, school
calendar) to complete projects/work orders efficiently
? Design report options and/or database applications (i.e. report cards, registration
forms) to provide personnel with information customized to their specific needs
? Instructor other personnel (i.e. set up accounts, issue passwords, and resolve
SIS issues) to ensure proper and efficient usage of the SIS
? Answer multi-line telephone and transfer messages
? Assists other personnel (Administrators, Teachers, Parents, Students,
Department Staff) for the purpose of supporting them in the completion of their work activities.
