The HR Assistant & Receptionist temp is responsible for providing support for Human Resources activities, and performing a wide variety of clerical and receptionist duties. Responsible for receiving and screening telephone calls and visitors, as well as recording and relaying messages to appropriate personnel. Responsible for projecting the Company’s professional image, providing front-line customer service and general assistance.

Schedule: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday–Friday, unless otherwise stated by the department manager. Holiday, weekend, and evening work hours may be required. Regular hours may vary due to the needs of the organization or department and are subject to change at any time at the Company’s discretion.
Physical: Generally may require some reaching, bending, stooping, squatting, crawling, kneeling, pushing, pulling, lifting, carrying up to 20 pounds, finger dexterity, repetitive motions, standing, walking, sitting, hearing, visual acuity, color vision, and 2-way written/verbal communication in English. Essential Functions And Main Duties
- Support the Human Resources Department with day-to-day administrative processes and assist with the team’s activities, events and initiatives as instructed.
- Serve as building receptionist, welcoming and assisting visitors and trainees. Administer the building entry system – issue and track visitor and temporary badges. Alert management of security/safety concerns.
- Receive and screen telephone calls; transfers calls to appropriate person or department in a timely, polite, and efficient manner; answers routine questions or directs them to appropriate personnel. Accurately record and relay messages.
- Perform various administrative tasks including correspondence, updating company templates, and preparing miscellaneous documents required for processing. Assist with special projects assigned by HR when needed.
- Receive and distribute mail and packages daily. Apply postage to outgoing mail through meter daily in time for postal pickup.
- Assist with ordering, stocking, and maintaining supplies for employees, breakrooms, etc.
- Ensure that work area and lobby is clean, organized, secure, and well maintained.
- Escalate and inform the HR Team of issues of concern, and those that are not being addressed adequately.

Education / Certification / Experience Required
- Associate degree in business administration or related discipline; relevant education and experience accepted in lieu of degree
- 1-3 years of experience providing general administrative or data management support; preferably in Human Resources
- Ability to work productively with employees and visitors, to build positive relationships, and to effectively push-back as needed. Is respectful and courteous to individuals with diverse backgrounds.
- Proven ability to handle confidential information with discretion, and demonstrate high level of customer/client service and response
- Resolves issues quickly and efficiently
- Perform successfully working both independently and as an effective member of the team, adapting to changing requirements, deadlines and priorities as needed
- Communicate clearly and professionally through effective listening, speaking and writing skills
- Has a passion for excellence, high attention to detail
- Proficient with Microsoft Office suite (email, Word, Excel, and PowerPoint)
