Swim Club Manager, Nine Oaks:
Position Summary: Management of private members-only pool and tennis club. This position is accountable for operating and maintaining the pool, club facilities and grounds, including day-to-day operations as well as seasonal opening and closing activities. The Club is open to members and their guests from Memorial Day to Labor Day each season.
Responsibilities also include hiring, scheduling, and personnel management of all pool staff.
The position is also responsible for the safety of club members, guests and staff while on facility grounds, performed via specialized work in protecting life, preventing accidents, enforcing safety regulations, and providing instructions. This is a working supervisory position requiring weekend, evening, and holiday work.
Qualified candidates:
- Possess knowledge and experience in pool and general management operations.
- Possess current Lifeguard/CPR/FA/AED certifications;
- Active/Current CPO (Certified Pool Operator) Certification preferred;
- Communicate effectively with employees, pool membership, and guests;
- Must be able to successfully pass PA & FBI Criminal History Background Checks, and
PA Child Abuse Clearances.
- Must be available to commit to Nine Oaks full-time (~40 hours per week) for the entire 2023 Summer Swim Season beginning May ending Labor Day weekend.
Availability includes but is not limited to:
- Weekday morning/afternoon/evenings
- Weekends
- Holidays
Responsibilities include but are not limited to the following:
- Pool maintenance and operation.
- This includes routine monitoring of pool chemicals and taking appropriate action to maintain safe chemical levels, operation and maintenance of pool filter system and pump facility, minor pool and pool equipment repairs and maintenance, and pool cleaning.
- Contacting and scheduling specialized pool maintenance companies for specialized repairs and upkeep in consultation with the Board of Directors.
- Ensure proper operating condition of all equipment
- Personnel Management.
- This includes hiring, training, scheduling, and supervising all lifeguards and other facility employees.
- Maintaining employee records (including necessary certifications, tax documents, etc.).
- Preparing all work schedules for staff, ensuring that a manager or head lifeguard is on duty at all times the pool is open and unnecessary expenditures are not being incurred.
- Ensure hourly employees work no more than 40 hours per week. Communicate and get approval of any overtime from the appropriate Board representative prior to overtime being worked by any employee.
- Report hours, days, & time worked for all employees under his/her direct supervision
- Ensure accurate and completed timecards prior to the due date and submit payroll
- Maintain staff rotations and staff breaks in compliance with appropriate regulations, standards and practices
- Ensure employees under his/her direct supervision are properly trained in their duties through once a month training/continuing education
- Day-to-Day Oversight and Management
- Enforcing policies and procedures, which ensure efficient and effective operation of pool facilities and safety of club members, guests, and staff. This employee should have excellent organizational and communication skills.
- Additional responsibilities include delegating responsibility to staff for first aid, rotations, and janitorial duties (cleaning of bathrooms and concession areas, storage areas, pool/lifeguard room, and keeping all facilities and lawn areas clear of refuse and debris).
- Assist in tracking pool attendance utilizing PoolDues software system, balance cash drawer, & make weekly deposit as directed
- Enforce and maintain compliance with posted facility rules and regulations
- Document in an orderly and concise manner all incident reports
- Ensure compliance with all local, state and federal employment laws and health regulations
- Maintain supply inventory, as needed
- Check all gates and doors at closing time
- Serve as non-voting member of the Board of Directors, attending monthly meetings to apprise of any operational concerns
- Other duties as deemed necessary or as required.
Skills: The ability to follow department policies and procedures and to concentrate on tasks in the presence of distractions. Be able to understand and follow instructions. This employee should have the ability to provide instructions to employees under his/her supervision and have excellent organizational, oral, and written communication skills. This employee must be able to count money and change correctly.
Decision-Making: Decision-making is a factor in this position. This employee makes decisions concerning employee scheduling, supplies needed, maintaining a safe environment for the enjoyment of members and guests, prioritizing daily work assignments, and assigning daily tasks in an efficient manner. Employee also will be responsible for interacting with club membership and guests in a professional manner and ensuring all staff does the same.
Accountability: Employee reports directly to the 9 Oaks Swim and Tennis Club Board of
Directors. Pool Manager is responsible for administering payroll and has limited budgetary discretion. Pool Manager is expected to make cash deposits as necessary during the “open” season in accordance with by-laws and in consultation with the Board Treasurer. Manager is responsible for submitting monthly reports that detail staffing, expenditures, and pool attendance trends to the Board of Directors.
Physical Requirements: Physical exertions to manually move, lift, carry, or push up to 50 lbs. Climbing in and out of the swimming pool, up and down ladders. Manager should have the ability to clearly articulate detailed or important instructions to other employees and the general public as they pertain to safety or operational needs of the pool.
Salary: Commensurate with experience.
