The Administrative Assistant plays a crucial role in keeping our office running efficiently. You will assist the office and leadership team with various administrative tasks, ensuring a smooth workflow and excellent customer service. This is an on-site position requiring a proactive, detail-oriented individual who can multitask in a fast-paced environment.

Key Responsibilities

  • Answer and direct phone calls professionally, documenting conversations in JobNimbus.
  • Create jobs and input customer information in JobNimbus.
  • Transfer calls and take messages as needed.
  • Assist the Sales Coordinator with lead distribution and scheduling.
  • Provide exceptional customer service to clients and subcontractors.
  • Order office supplies and maintain inventory.
  • Make follow-up phone calls as needed.
  • Enter job-related invoices/bills into JobNimbus and Centime.
  • Review and correct timecards in collaboration with managers.
  • Assign hours to jobs in JobNimbus with the Project Coordinator.
  • Assist in maintaining key performance indicator (KPI) worksheets.
  • Organize and file necessary paperwork.
  • Work with the Marketing Manager to coordinate events.
  • Communicate with organizations and prepare for event logistics.
  • Ensure all required materials and activities are ready before events.
  • Maintain a clean and organized office environment.
  • Support staff with additional tasks as needed.
  • Assist in managing employee clothing and office supply orders.

Qualifications

  • Proven experience as an administrative assistant, office manager, or similar role.
  • Strong organizational and multitasking skills, with excellent attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office management software (Job Nimbus).
  • Experience with project management software (preferred but not required).
  • Excellent communication skills (both written and verbal) with a professional demeanor.
  • Ability to prioritize tasks, meet deadlines, and work independently.
  • Knowledge of basic accounting and bookkeeping (preferred but not required).
  • A proactive attitude with a willingness to learn and grow within the company.
