Administrative Assistant (Front Desk Coordinator)
The Front Desk Coordinator will support the company through administrative and clerical tasks in coordination with all departments within the organization. The Front Desk Coordinator will be the first point of contact and must have excellent customer service skills and a high level of professionalism.
ESSENTIAL DUTIES AND RESPONSIBILITIES, included but NOT limited to:
Greet all visitors and provide a professional and positive client experience.
- Service visitors by welcoming, directing and announcing them appropriately.
- Manage multi-line phone switchboard; answer, screen, and forward all incoming phone calls as appropriate.
- Perform clerical duties such as filing, scanning, and photocopying for specific departments.
- Receive and sort daily mail/deliveries/couriers and distribute.
- Maintain the front entrance, reception area and boardroom to ensure they are clean and ready for use.
- Ensure the office, restroom, and kitchen supplies areas are fully stocked.
- Assist with any task needed by various departments
- Miscellaneous projects or tasks delegated to you or your department
Ability to complete other duties or projects as assigned
ESSENTIAL COMPETENCIES AND QUALITIES
Proven administrative experience working under pressure in a fast-paced, professional services environment.
- Strong customer service focus with the ability to organize, multitask and prioritize work.
- Professional appearance and friendly with a personable and positive disposition.
- Acute attention to detail and accuracy when completing tasks.
- Ability to take instructions, manage ongoing tasks, and follow through on assignments.
Proficiency with Google Suite programs; experience using standard office equipment such as computers, printers, laptops and projector, voicemail messaging systems and photocopiers/scanners.
EXPERIENCE AND EDUCATION
At least 2 years of experience in customer service or an administrative environment.
- High school diploma preferred.
- Bilingual candidates are a plus.
Due to the nature of our company's work, you must have the ability and be willing to obtain a Public Adjusting License within 3 months of the hire date. *Note: This will be a process completed at the workplace and information will be provided upon interview.
