The New York office of Norris McLaughlin, P.A., has an immediate opening for a Intellectual Property Legal Assistant to join our team.
The Intellectual Property Legal Assistant will support attorneys in the Intellectual Property Practice Group by preparing documents from forms/templates and based on client-provided and attorney-provided materials, including preparing patent and trademark application documents for filing; organizing and uploading documents for e-filing with various patent & trademark offices; reviewing Office Actions and other communications from patent & trademark offices and prepare response templates for attorney completion; corresponding with clients regarding the status of applications and other matters; coordinating the transmittal of documents needing signatures (i.e., declarations and assignments); monitoring attorney dockets for approaching due dates; working closely with the docketing staff to ensure all dates are docketed; maintaining precise follow-ups and reminders; preparing Information Disclosure Statements (IDS) for filing with the United States Patent and Trademark Office, including obtaining copies of patents and articles for submitting with IDSs; managing incoming mail; managing calendars and assisting in meeting deadlines; communicating with clients, courts, and attorneys; opening new files, preparing conflicts checks and drafting engagement letters; processing monthly billing and time
Qualifications
Other Duties/Responsibilities:
- Perform other administrative duties as assigned in support of attorneys.
Required Skills/Abilities:
- In-depth knowledge of working with the USPTO and related agencies.
- Proficient with MS Office Suite, including advanced use of MS Word (including redlining, comparing documents, advanced formatting, Table of Contents and Table of Authorities creation and manipulation, and hyperlinks).
- Proficiency in the use of document management systems (iManage preferred, FileVine a plus)
- Excellent written and verbal communication and organizational skills and very detail- oriented.
Education and Experience:
- Minimum 3-5 years legal administrative assistant experience in a law firm required.
Associate degree a plus
Salary : $85,000 - $95,000
