What are the responsibilities and job description for the Church Office Administrative Assistant position at North Manchester First Brethren Church?
Job Purpose: Operate a friendly and efficient office that assists the church staff, ministries, and congregation to effectively fulfill their mission.
Hours: Part time position - 5 days a week; approx. 28 hrs per week
Annual Compensation: based on skill and experience
Benefits: For part-time staff members, there are no paid vacations, health care, or retirement benefits. However, when needed, the Administrative Assistant may take unpaid leave, subject to approval of the Senior Pastor. When the office is closed for certain holidays, the employee is still compensated. These holidays include New Years Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, and Christmas. Depending on work load and at the discretion of the Senior Pastor, time off may also be considered at other times.
Areas of Responsibility
A. Office Management
1. Operate and update office equipment
2. Typing and computer tasks
3. Receive calls and make calls
4. Order materials and supplies
5. Statistical record keeping (membership, baptisms, deaths, births, etc...)
6. Process incoming and out-going mail/e-mail
7. Maintain master calendar
8. Handle inquiries of benevolence
9. Reconcile church credit card statement and compile receipts for Treasurer
B. Staff Support: assist and support the church staff in such a way that their time is most efficient and ministry is most effective.
1. Copy materials and prepare slides for worship services as needed
2. Supply list of weekly visitors and/or follow-up needs
3. Maintain Database
4. Process/Draft letters
5. Design and send correspondence from staff
6. Call and confirm appointments
7. Take minutes at congregational meetings
C. Communicates with Congregation/Community
1. Publish and distribute church monthly newsletter
2. Prepare and copy weekly church bulletin
3. Communicate information with congregation (newsletter, mid-week email, screen, and other usage of technology)
4. Annually publish up-to-date church directory
5. Assist ministry leadership and members with projects as time permits
6. Compose and submit news releases pertinent to church events
7. Maintain updated website and informational bulletin boards
8. Oversee the scheduling of activities (weddings. funerals, reunions, etc...) for people using the church facility or equipment (rental agreements, borrowed items, etc...)
D. Volunteer Coordinator
1. Formulate and maintain a volunteer base of people skilled and willing to support the ministries of the church. (work in conjunction with staff and ministries)
2. Make contacts and/or referrals to individuals or groups needing volunteers
3. Contact property personnel and/or contractors for facility emergencies.
E. Fulfill any reasonable request the pastors deem necessary and helpful.
Qualifications:
1. Love Jesus
2. Have a pleasing, patient personality
3. Possess and use good communication skills in relationships with people and sustain a friendly, organized, and cordial atmosphere for visitors in the office
4. Possess competent clerical skills to handle typing, word processing, various computer-generated tasks, filing, and operation of office equipment
5. Know and use proper telephone etiquette with regard to receiving and screening phone calls and making calls as requested by the staff
6. Discern when information is confidential and be absolutely discreet in maintaining confidences
7. Possess an understanding of English grammar, punctuation, and spelling
8. Possess abilities for creative writing and design for correspondence (Graphic design interest is a plus but not a requirement)
9. Capable of keeping dependable and punctual regular office hours, yet willing and flexible to assist in unexpected ministry demands (flexibility will also be extended to the Admin Assist when health or family needs arise).
10. Possess an ability to handle details accurately
11. Possess a teachable spirit and aptitude to learn new skills necessary to fulfill the job assignments

Organizational Relationships
Although the Administrative Assistant will perform tasks on behalf of both the professional staff and the various church organizations, she/he is directly responsible to the Senior Pastor. Differences of opinion or areas of conflict shall be worked out privately or with the Pastoral Care Committee as needed. This person shall attend weekly church staff meetings and other staff related events. The Senior Pastor will conduct job performance evaluations and reviews at least annually.
