Human Resources Payroll Assistant (Staff Assistant)
Non-Unit Professional position, 37.5 hours/week
Campus Location: Danvers
Work Schedule: Monday - Friday; 8:30 am - 4:30 pm
SALARY: Anticipated salary range $55,589.04 - $60,000.00. Actual salary is commensurate with experience and education. GENERAL STATEMENT OF DUTIES:
Under the direction of the Payroll Director, this position will have primary responsibility for assisting with the 03 part-time payroll; through the state's Human Resource Compensation Management System (HR/CMS). The Payroll Assistant is also responsible for verifying data entered through employee self-service time and attendance (SSTA) system for compliance with federal and state laws, maintaining payroll records and responding to employee payroll inquiries
ESSENTIAL FUNCTIONS:
- Responsible for supporting the processing of biweekly payrolls.
- Review attendance reports from HRCMS and timesheets to ensure accuracy for federal work study and part time and non-credit adjunct employees.
- Coordinate the payroll processing of work-study students with Work-Study Coordinator in Student Financial Services.
- Coordinate the payroll processing of non-credit adjunct faculty with the Operations Manager in Corporate & Professional Education Department.
- Enter deductions into HR/CMS; Federal tax, State tax, Medicare Tax. Identify and enter FICA exempt work-study students.
- Enter employee Direct Deposit banking information into HR/CMS.
- Process new hires in the HRCMS system, Banner and Labor Cost Management (LCM) systems.
- Perform internal audits of department time and attendance procedures to ensure compliance with payroll policies and procedures and wage and hour laws.
- Process stop-payments and reissue checks to the state treasurer's office.
- Create Dyna Cash vouchers for Payroll Director when needed.
- Maintains confidential salary, payroll and personnel records.
- Reset SSTA passwords as requested.
- Respond to inquiries from employees and managers regarding Self Service Time and Attendance.
- Process part-time requisitions (RFEs) through Interview Exchange Recruitment System as final slot.
- Train and assist employees at all levels with SSTA questions and concerns.
- Resolve payroll discrepancies relating to part time employees.
- Completes employee verification for Full-time and Part-time employees.
- Writes and run queries of the HRCMS data warehouse for reporting purposes.
- Serve as back-up for processing full time and credit-adjunct payroll.
- Performs other related duties as assigned.
SUPERVISION RECEIVED: Reports to the Payroll Director
Requirements:
- Minimum of two (2) years of full-time, or equivalent part-time, profession experience in payroll, accounting or auditing, or an Associate's Degree with a major in accounting, business administration or business management.
- Proficiency with Microsoft Word, Excel and Access.
- Understanding of wage and hour laws as well as state and federal payroll taxes
- Prior customer service experience required.
- Strong organizational and interpersonal skills required.
- Detail oriented with excellent editing/proofreading skills.
- Ability to maintain high level of confidentiality.
- Successful experience interacting with culturally diverse populations.
- Demonstrated ability to work as a productive team member in a multi-tasked, time-sensitive environment.
- Ability to give written and oral instructions in a precise, understandable manner.
- Candidates will be required to pass a CORI/SORI and/or National background check as a condition of employment.
PREFERRED QUALIFICATIONS:
- Knowledge and experience working with Banner, Labor Cost management System (LCM).
- Experience with HR/CMS State payroll system, PeopleSoft or similar HR/Payroll system.
- Bachelors of higher degree with a major in accounting, business administration or business management may be substituted for the required two (2) years of full-time, or equivalent part-time, professional experience.
