General Job Description

This position is responsible for helping to provide a positive experience for guests. Incumbents will assist in special events, meeting guests’ needs, and responsible for keeping the facility clean, well-maintained, and safe. Incumbents will also perform various high-level, confidential, and complex administrative and general office support duties and serve as a source of information for other staff.

Incumbents work under close supervision while learning job tasks, progressing to general supervision as procedures and processes of assigned areas of responsibility are learned.

ESSENTIAL FUNCTIONS

DUTIES AND RESPONSIBILITIES (Not in any hierarchical order. Other duties may be assigned).

· · Performs high-level administrative support work for management staff, including preparing various administrative reports and projects, researching and compiling background data, maintaining records and files regarding administrative activities, gathering statistics for standard Board reports, and preparing drafts for management review and approval.

· Drafts responses to correspondence containing routine or technical inquiries.

· Prepares agendas, takes meeting minutes, and prepares official records of Board committee meetings.

· Schedules meetings and appointments and manages calendars.

· Answers phone calls, directs messages, manages email correspondence, and greets visitors.

· Monitors and assists in scheduling staff training.

· Provides work coordination for temporary support staff as assigned.

· Content creation: Writing posts, designing graphics, creating video content, and curating relevant material for social media platforms.

· Receive deliveries, check inventory, accurately stock items, and ensure adequate supplies are available.

· Maintains regular attendance and adheres to prescribed work schedule to conduct job responsibilities.

· Builds and maintains positive working relationships with coworkers, other District employees, and the public using principles of good customer service.

· Liaise with vendors and clients, providing excellent customer service.

· Performs related duties as assigned.

Knowledge

· · Principles and practices of administrative and technical support.

· Principles and methods of business letter and report writing.

· Filing methods and recordkeeping systems.

· Proper telephone techniques.

· Basic mathematics.

· Correct English usage, spelling, grammar, and punctuation.

· Business communication standards and procedures.

· Modern office methods, procedures, equipment, computer software, and database programs, including Microsoft Suite of Programs.

· Research techniques and report preparation.

Ability to

· · Perform a variety of complex administrative support work requiring exceptional organizational skills.

· Excellent organizational and time-management skills.

· Prepare accurate agendas, minutes, and Board meeting records.

· Learn and follow District policies and procedures.

· Understand the organization and operation of the District and of outside agencies as necessary to assume assigned responsibilities.

· Work with minimal supervision; must exercise initiative and sound judgment.

· Ability to work independently and as part of a team.

· Compose quality business communications (letters, memorandum, emails).

· Follow oral and written directions.

· Operate a computer for word processing, database, and department-specific software.

· Operate copiers and a variety of office equipment.

· Prepare and organize a variety of information.

· Represent the District positively and professionally at all times.

· Deal tactfully and courteously with the public.

· Maintain confidentiality.

· Communicate clearly and concisely, both orally and in writing.

· Establish and maintain cooperative working relationships with coworkers, outside agencies, vendors, consultants/contractors, and the public.

· Pass pre-employment physical, drug, and alcohol examination, and background check.

Experience and Education

· High school diploma or equivalent.

· One (1) year of experience performing a variety of office and administrative support work.

· Any equivalent combination of education, training, and experience that provides the requisite knowledge, skills, and abilities for this job.

License and/or Certificates

· Valid Florida Driver's License and proof of good driving record as evidenced by freedom from severe or multiple traffic violations or accidents for at least five (5) years.

PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT

· Travels occasionally by automobile to conduct District business.

· Regularly uses office equipment such as copiers and fax machines.

· Works in an office environment; lifts and moves objects up to 30 pounds without assistance, such as large binders, books, and small office equipment.

· Sits, stands, and files for extended periods.

· Occasionally may be required to change working hours.

Job Type: Full-time

Pay: $41,600.00 - $46,000.00 per year
