Summary
Provides processing support and records management assistance to admission and financial aid. Performs clerical tasks, data entry, and data audits for quality assurance oversight; prepares reports and archives documents. Extensively utilizes student records enterprise and office management systems in support of budget data entry, procurement, and managing digitized signature documents. Acts as a Specialist resource in department functional areas, assisting with task completion and knowledge transfer as needed.
Principal Functional Responsibilities
Data Management and Integrity: Administer application processing, procurement and accounts payable processing, digitized signature delivery and receipt by performing data entry, monitoring documentation, processing updates, and maintaining data integrity. Create reports and performs basic data analysis to provide observations and recommendations for system/process improvement.
Customer Service and Communication: Serve as a communication and resource reference for prospective students. May provide front-line customer service and reception tasks as required, respond to stakeholder inquiries, and collaborate with internal and external constituents for efficient service.
Record Management and Compliance: Assist with the creation, maintenance, and archiving of applicant, academic, and financial aid student records. Ensure compliance with Federal, State, and University regulations/policies, including data integrity activities.
Specialist Role: Tasks may include: processing student applications and commitment deposits, preparing communication materials, coordinating committees, assisting with office publications, preparing reports, processing mail, procuring goods and services, paying invoices, managing and reviewing criminal background checks, preparing, sending, and archiving digitized signature documents, responding to inquiries, and overseeing office management tasks as directed.
Other Duties: Perform other duties as assigned.
Qualifications
Must be able to utilize a phone, computer and screen and other office equipment. Ability to work evening and/or weekend hours on occasion, as needed.

Qualifications
- Associates degree or equivalent education and experience
- Minimum of two years’ administrative experience
- Proficient in Microsoft Office Suite
- Bachelor’s degree
- Experience in a higher education office, particularly enrollment services related
- Working knowledge of relational database management systems
- Experience with a university ERP platform such as Banner
