Job purpose
This position will perform administrative tasks and services to support effective and efficient operations of the organization’s Heavy Industrial Operation. The ideal candidate should enjoy a fast-paced work environment, meeting short & long-term deadlines, while still maintaining accuracy and attention to detail. This position also has executive assistant duties related to the board of directors and board members.
Duties and responsibilities
Bookkeeping:
- Responsible for the timely processing and coding of timecards to ensure accuracy
- Track all operation jobs; material quantities, expenses, subcontracts, etc. to ensure accurate billing, including maintaining job files
- Must be able to prepare, and submit invoices for payment according to work performed, hourly time/material or by bid quantities
- Responsible for the coding of vendor invoices and credit card receipts
- Complete new job set up, assign cost codes and provide all job information to corporate office
- Assisting with the onboarding process for Heavy Industrial Operation returning employees including reviewing applications, setting up drug tests, and ensuring follow through of onboarding paperwork
- Request various utility locates
- Prepare completed job progress reports
- Must maintain confidentiality of all employee payroll information
- Provide administrative support for the Heavy Industrial Operation (i.e. creating forms, scanning, answering phones, etc.)
- Maintain various documents for Heavy Industrial employees
- Serve as a backup for the Office Receptionist
- Ability to work independently as well as a part of a team environment
- All other duties as assigned, delegated, or necessary for operations
Administrative Assistant:
- Coordinate, compile, proof, and create board books from the board reports submitted
- Order board gifts for yearly board meeting
- Compile power point presentations for the start-up meeting and company meeting; including an active role on the Company Meeting Steering Committee
- Facilitate the yearly office giving campaign
- Miscellaneous work for company executives
- Manage the company clothing store and assist employees with redemption of clothing coins and gift certificates
- Member of the Employee Appreciation Committee, including tracking and ordering years of service and retirement awards
- Order company decals
- All other duties as assigned, delegated, or necessary
Qualifications
- 2 years of college degree or equivalent (Relevant previous job experience may substitute for education requirement)
- 2 years of bookkeeping or office administrative/clerical experience preferred
- Must have good working knowledge of MS Word/Excel/Outlook.
- Ability to pass a pre-employment urine drug test and comply with drug and alcohol policies during employment
Working conditions
- Moderate noise (i.e. business office with computers, phone, and printers, light traffic)
- Ability to sit at a computer terminal for extended periods of time
Physical requirements
- Verbal, auditory, and written capabilities to effectively communicate in an articulate manner
- Clarity of vision at varying distances to perform various work assignments
- Standing, walking, or sitting for extended periods of time
- Dexterity of hands and fingers to operate a variety of office equipment
- Occasional use of company vehicle
- Occasional light to moderate lifting
- Occasional bending, kneeling, or crouching
- Regular, predictable attendance is required
