Summary: In this position, the main functions of the employee are to assist Juneau Office Manager. Essential duties:
Greet visitors, including but not limited to; employees, vendors, customers, etc.
Answering, filtering, and transferring phone calls (preferably on the first ring) and take messages for appropriate employees.
- Distribute incoming and outgoing mail and packages, opening and sorting immediately upon receipt, to appropriate personnel.
Responsible for filing, copying, scanning, and faxing documents Order and maintain office supplies.
- Create and maintain material tracking spreadsheets.-Receive materials and check in against purchase order book
- Maintain a clean front office area.
- Generate labels for all departments, as requested
- Assist project process including:-Scanning correspondence, field reports, inspection reports and receipts for job specific-Coordinating meetings
- Assist accounts payable process, including:-Scanning and forwarding vendor invoices to Anchorage-Calling vendors for copies of invoices-Calling vendors for W-9’s and forward onto the Anchorage office
- Assist accounts receivable process, including:-Printing invoices that need to be sent out and e-mailing or mailing them, as needed-Filing invoices chronologically
- Update the supervisor of the workload on a regular basis.
Supervisory Responsibilities: None.
Qualifications: To perform this job successfully, an individual must be able to perform each essential function and perform other tasks, as assigned, satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
Education and/or Experience:
The minimum education for this position is a High School Diploma or GED. Two years of job-related experience is required, and the employee must possess a valid driver license.
Skills, Knowledge and Abilities:
- Knowledge of administrative and clerical procedures.
- Knowledge of office protocol and the ability to effectively work as a member of a team.
- Ability to work with written and computerized data.
- Ability to perform basic mathematical computations.
- Ability to communicate information in writing, as well as verbally.
Physical Requirements:
- May spend long hours sitting and using office equipment and computers
- May have to do some lifting of supplies and materials; the ability to move and maneuver up to 50pounds.
