Currently, they are seeking a full-time Accounting Assistant to join their team in Issaquah, WA. As an Accounting Assistant, you will be responsible for organizing projects, managing daily emails and portal notifications, and providing operations support to NorthStar’s growth. You will act as a liaison between team members and the project manager, communicating all project details and specific assignments to team members, and handling administrative tasks for various team members. You will need to be highly organized, skilled in multitasking, and able to work under pressure on short deadlines to excel in this role.
Your attention to detail should be impeccable, ensuring all projects are on schedule to meet or exceed deadlines. You will be required to communicate with the team or clients who need assistance to maintain efficient organizational workflows across various departments within NorthStar. Primary Duties:
Payroll Data Entry
A/R Check Deposits
Collection/Past Due Invoice Calls
A/P Invoice Processing
Lien Waiver Submissions
Expense Report Reconciliation
Payroll
Print out and sort the daily timecards to be entered.
Enter timecards daily and review entries for accuracy.
Scan timecards and other payroll-related paperwork.
Respond to requests for employment verification.
Compile internal reports.
Accounts Payable (A/P):
Receive and prepare invoices.
Input A/P invoices on an as-needed basis.
Update and maintain A/P invoice logs.
Track invoices.
Scan and file approved invoices weekly.
Alpha-sort vendor statements and perform a preliminary review, including identification of the status of invoices (paid, missing, etc.)
Respond to vendor inquiries, resolve discrepancies, and update information.
Prepare customer billings.
Monitor project contracts and ensure compliance with payment terms and liens.
Communicate with internal Project Managers and customers to resolve payment issues, and discrepancies.
Prepare periodic and special reports to allow division and corporate management to be properly informed to make knowledgeable business decisions.
Establish good rapport with the Accounts Payable Departments of our customers.
Prepare lien or collection forms, when necessary, on delinquent accounts, as directed by the Supervisor.
Assist in mailing checks to vendors on an as-needed basis.
Accounts Receivable (A/R):
Lien releases are signed, notarized, and copied when they are received with payment.
Update and track outstanding invoices in our accounting software (Viewpoint).
Process receivable payments
General:
Answer and direct calls on the multi-line phone system.
Take phone messages and relay messages promptly.
Excellent communication and organizational skills
Aptitude for numbers
Excellent attention to detail
Computer and 10-key literate
Experience with Viewpoint preferred.
2 years of accounting experience and accounting software is a plus, ideally in a construction environment.
Flexible & Adaptable: Ability to handle multiple projects simultaneously and to work to deadlines.
Minimum high school diploma or equivalent, AA preferred.
Must be able to pass background checks and drug tests.
Compensation:
Dependent on experience. $21-$25HR
The pay cycle is weekly.
