Our team is committed to professionalism, integrity, and exceptional service. We are seeking a highly organized and client-focused Administrative Assistant / Receptionist to join our Rockford office. This role is essential to maintaining a welcoming office environment and supporting our advisors and staff with administrative tasks.

Role Description

This is a full-time onsite role for a Receptionist / Administrative Assistant.

The Administrative Assistant / Receptionist serves as the first point of contact for clients and visitors, ensuring a positive and professional experience. This individual will manage front desk operations, coordinate office activities, and provide administrative support to advisors and staff.

The role will be responsible for :

Reception & Client Service :

  • Greet and assist clients and visitors in a professional and friendly manner.
  • Answer and transfer phone calls, taking messages when necessary.
  • Manage appointment scheduling and client reminders.

Administrative Support :

  • Assist in preparing documents, reports, and correspondence.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Order and maintain office supplies.
  • Some data entry
  • Office Coordination :

  • Ensure the reception area and office space remain clean and organized.
  • Assist with meeting preparations, which may include scheduling and materials setup.
  • Support advisors and staff with special projects and operational tasks as needed.
  • Qualifications & Requirements

  • Prior experience in an administrative, receptionist, or customer service role (preferably in a financial services or professional office setting).
  • Excellent communication, phone etiquette and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks efficiently
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new systems.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Must be able to pass a background check and fingerprinting.
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Work Environment

  • This position is 100% in-office at our Rockford, IL location.
  • 8am to 5pm office hours with occasional flexibility as needed.
