What are the responsibilities and job description for the Office Specialist, Nursing - Northwest Florida State College position at Northwest Florida State College?
The Office Specialist - Nursing position is directly accountable to the Dean of Health Sciences for the following duties and responsibilities. The individual filling this position is expected to play a positive role in helping the College change as necessary to effectively carry out its mission.
- Serve as the department's first point of contact for professionals, visitors, and students.
- Secure details of specialized program information and provide this information to potential students.
- Answer questions about the selective admissions process as needed.
- Assist with the selective admissions process in coordination with the Director of Nursing and Student Success personnel.
- Maintain confidential student data.
- Register students in program courses as needed.
- Assist in scheduling classes and processing faculty assignments.
- Work with the Director of Nursing to maintain Affiliation Agreements and Memorandums of Understanding with clinical facilities.
- Retrieve data for reports, perform research and retrieval of records, and conduct statistical comparisons of information.
- Assist in the preparation and maintenance of department records, maintain office supplies, and monitor programs and systems.
- Submit requisitions and purchase orders for equipment and supplies for skills laboratories. Assist the Director of Nursing in communication with vendors as needed.
- Assist in budget preparation and monitoring, including expenditures related to course fees.
- Coordinate arrangements for travel.
- Assist with the planning of program orientation sessions.
- Assist with academic ceremony plans as needed.
- Perform secretarial duties and participate directly in the work of the Nursing programs.
- Take notes and minutes at conferences, meetings, and other functions.
- Use Microsoft Office Suite to process letters, forms, reports, schedules, spreadsheets, requisitions, purchase orders and related paperwork.
- Support College activities to enhance the positive image of the College in the community.
- Complete other duties as assigned.
- Complete annual mandatory compliance training.

Job Requirements:
- High school diploma or equivalent, plus a minimum of two (2) years relevant work experience required.
- Detail oriented and able to multi-task effectively.
- Demonstrated excellence in written and oral communication.
- Ability to deal effectively with students and the public.
- Microsoft Office Suite proficiency (working knowledge of Word and Excel) is required.
- Must be able to work as a team member and show a capacity for professional growth and development.
Preferred Qualifications
- Associate's degree or higher preferred.
- Work experience in a higher education setting preferred.
