Northwest Kidney Centers is seeking a full-time Executive Assistant to support our Chief Nursing Officer (CNO) and VP of People and Culture in our Burien Pavilion. This role may work between Burien Pavilion and our Seattle Kidney Clinic location.
Shift
Full-time, Monday - Friday, 8 - 4 : 30 .
Purpose :
The Executive Assistant (EA) supports mainly the VP Human Resources and Chief Nursing Officer (CNO) and may back up one or more NKC executives as needed. The EA may serve as Board of Trustee and NW Kidney Care Alliance (ESCO) liaison and serve as an administrative contact; work on administrative projects, . taking minutes, self-evaluation surveys, Board of Trustee management and retreats, luncheons, and occasional on and offsite events; and work on supporting the organization’s efforts to build and effectively analyze data analytic, writing and presentation projects; and other projects as assigned.
The position is responsible for facilitating executive office activities and communications with other persons or organizations, and for performing confidential and / or other project assignments directed by the executive. The Executive Assistant may also address non-routine matters and handle confidential and sensitive information. The Executive Assistant deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent, confidential, and solid judgment is required to plan, prioritize, and organize a diversified workload, and with a focus on continuous improvement to executive office practices and procedures.
The position is responsible for administrative support services required for day-to-day responsibilities of the executive and the Board subcommittee they serve and / or NKC executive activities, and for participating in and planning meetings, conferences, including special occasions and events, within NKC and off-site. Typical planning responsibilities are :
- Coordinating and facilitating administrative and other related
- Coordinating Board and / or committee schedules with other NKC executives and others EAs and planning and implementing Board meetings and retreats. This individual will help build working relationships at all levels of the organization.
- Developing plans and arrangements for regularly scheduled meetings, including preparation, processing and distribution of materials, and planning for meeting schedules, rooms, catering, and recording
- The Executive Assistant may assist the Executive Assistant to the CMO in developing plans and arrangements and coordinating details for off-site meetings, events, and dinners including executive and Board retreats; maintaining budgets and ensuring they are adhered to; selecting catering companies to prepare food for events, visiting venue to plan layout of seating and decorations, coordinating and monitoring timelines to ensure deadlines are met; coordinating presentations with a / v equipment (computers, projectors) and other display materials; negotiating and securing event space, designing save the date and event invitations, sending out invitations and managing rsvp lists, coordinating event logistics including registration and attendee tracking, presentation and materials support and pre- and post-event
