Primary Responsibilities:
As a Centralized Application Processing Coordinator, you will support the leasing team off-site by handling administrative tasks related to new applications, from initiation through completion. This role involves ongoing communication with the applicant and on-site teams throughout the process.
As a support-focused position, the Centralized Application Processing Coordinator must demonstrate excellent time management skills and the ability to handle tasks efficiently across multiple properties while focusing on meeting the applicant’s needs, providing helpful information, and fostering a positive experience with the company.
They may also be requested to help with other administrative tasks as needed or instructed by the Centralized Leasing Manager
As a Centralized Application Processing Coordinator, your primary responsibilities include:
- Strictly adhere to NWR Application Policy & Procedures when processing applications.
- Verify income documentation in SNAPPT to ensure accuracy based on employment type. Approve and upload the SNAPPT report into OneSite.
- Ensure that the reported income from SNAPPT matches the income listed on the OneSite screening scorecard.
- Make screening decisions using the OneSite scorecard.
- Adjust rent ledgers and scheduled billing, if necessary, for specials and other approved changes.
- Communicate with the applicant regarding the status of their application.
- Gather additional move-in documents within set deadlines, including but not limited to: deposits, lease signatures, petscreening, renter’s insurance, proof of electricity, etc.
- Upload documents to the appropriate resident accounts in OneSite Doc Management.
- Inform the applicant when their file is complete and transferred back to the leasing team for move-in preparation and assist with any other items for the applicant prior to doing so.
- Seamlessly transfer approved applicants to the on-site leasing team once the application is fully approved and ready for move-in preparation.
- Track workload across multiple properties to stay informed of the status of each applicant throughout the entire application process.
What you bring to the role:
- Previous experience in property management, particularly in leasing or assistant manager roles, processing applications and managing move-in documentation.
- Familiarity with property management platforms such as OneSite, SNAPPT, and Knock. And proficiency in Excel, Word, and Outlook for document management, reporting, and communication.
- Ability to multi-task and collaborate effectively in a fast-paced cross-functional team environment.
- Strong ability to analyze income documents and screening scores to make informed, accurate decisions.
- Understanding the importance of maintaining applicant confidentiality and following company guidelines for data security.
- Knowledge of Fair Housing laws and regulations.
- Ability to carefully and accurately review and verify income documentation, addressing discrepancies in a timely and effective manner.
- Strong ability to track multiple tasks and prioritize deadlines, ensuring timely completion of all application processing steps and the smooth transfer of application files
