SUMMARY
The primary responsibility of the Director of Liturgy & Sacraments is the smooth flow of the liturgical ministry and celebration of sacraments within the parish. The Director communicates with the parish Pastor, Music Coordinator, and Director of Faith Formation to determine policies relating to the liturgical celebrations of the parish, and to plan the seasonal liturgical celebrations. The Director of Liturgy & Sacraments will also provide an enriching sacramental experience for the people of Notre Dame Catholic Church, in accordance with the Code of Canon Law, and the Archdiocesan and parish guidelines.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Recruits and schedules all liturgical ministers, including the lectors, altar servers, Eucharistic Ministers, ushers, sacristans, church and sacristy care (general cleaning of baptism font and sacristy, maintain holy water vessels and linen laundry.)
- Organize training for all new ministers and ongoing training for existing ministers.
- Coordinate the cleaning of liturgical vestments.
- Plan and attend all Liturgy meetings to determine parish liturgical policy and to assist in the liturgy planning process and seasonal church environment.
- Prepare weekly liturgical books.
- Prepare liturgies for special liturgical events, including parish missions during Advent and Lenten seasons.
- Schedule/prepare Mass intention lists for altar and presider.
- Prepare weekly intercessions and announcements.
- Oversees weekend Masses, holy day Masses and Christmas and Easter Masses to make sure everything runs smoothly.
- Maintains and submits orders for all liturgical supplies (hosts, wine, candles, ashes, palms, etc.)
- Assist the priest in preparing liturgies for special liturgical events.
- Coordinates the formation of catechumens and candidates, the Rites and liturgical services in conjunction with the OCIA and Adult Confirmation teams.
- Coordinates rehearsals for weddings and quinceaneras.
- Coordinates Reconciliation services during Advent and Lenten season, as well as parish retreats (Youth Ministry, ACTS, etc.) including contacting and scheduling priests.
- Contact priests to cover in the priest’s absence.
- Prepare the list of the deceased for All Soul’s Day.
- Coordinate with the Director of Faith Formation & Youth Ministry for First Reconciliation and Holy Communion, Confirmation and any special liturgy.
- Coordinate with Chancery for any special liturgy.
- Maintains familiarity with all Archdiocesan Sacramental Guidelines and general parish procedures.
- Provide Baptism instructions and required documents needed from Parents and Godparents.
- Responds to inquiries from adults and prospective parents that are seeking Infant Baptism, Confirmation, quincenearas, funerals/bereavements and weddings (verbal, email, telephone, Baptism Inquiry Online form, etc.) to provide vital information and answer any questions.
- Schedules and coordinates Baptism Preparation classes once a month in English and Spanish and maintains updated participant list.
- Generates Letters of Permission or Good Standing for those seeking to go outside our parish to Baptize.
- Meet with parents to review paperwork ensuring all required documents are in packet before setting date of Baptism.
- Prepares Record of Sacrament documents, certificates of preparation for Liturgy and Sacramental records, as well as name tags for parents, godparents and sponsors.
- Confirms with the church secretary regarding availability and usage needs before scheduling any activities or events that utilize the church facilities.
- Answer phones, greet visitors and assess their needs and direct them to the appropriate point of contact when Secretary is away from her desk.
- Other duties as assigned.
SUPERVISORY RESPONSIBILITIES - This position requires the supervision and training of sacristans and liturgical ministers.

- Bilingual (English and Spanish) proficiency preferred.
- Must be proficient in Microsoft Office, especially Word, Excel and Publisher.
- Must have demonstrated organizational skills, attention to detail and accuracy. Must be able to handle multiple tasks and to work with volunteers.
- Complete a safe environment course and pass criminal background check.
- Possess strong customer service skills and ability to resolve and reduce conflict.
- Demonstrates the ability to minister to and with all people of the parish and their diverse needs regarding themselves and their families.
- Ability to read, analyze and write reports, business correspondence and procedure manuals. Demonstrates strong communication skills; ability to effectively present information and respond to questions from parishioners and the general public. Must have good verbal and written communication skills in English and Spanish.
- Ability to solve practical problems and interpret verbal and written instructions.
- Ability to adapt to changing schedules or routines with excellent time management skills.
- Ability to work evenings, weekends, and holidays due to unpredictable schedule when needed.
- Practicing Catholic with thorough understanding of the Catholic Church and Roman Catholic liturgy, and a commitment to his/her own faith life and personal prayer.
EDUCATION and/or EXPERIENCE
- Undergraduate or Graduate degree preferred
- Minimum of 2-3 years of experience in Liturgical Ministry.
