Nova Display Systems has an immediate part-time opening for an Office Assistant, under the direct supervision of the Operations Manager. Founded in 2000, Nova Display Systems, Inc. is an industry leader in cutting-edge display solutions and products. The ideal Office Assistant candidate will help our administrative team uphold phenomenal customer service, complete daily checklists and perform tasks relevant to office workflow. This position is part time, with increased hours and upwards mobility possible with positive performance reviews and company growth.
Responsibilities of the Office Assistant include but are not limited to:
- Answering / routing calls as necessary to appropriate personnel; taking messages as needed.
- Reading / distributing emails from our general inbox.
- Advising our clients on FAQ's regarding policies and procedures.
- Reviewing / submitting online orders and preparing for shipping or production.
- Issue receipts, refunds, returns, credits, or makes requested changes to client’s orders.
- Track delivery progress of shipments and advises clients on transportation and payment methods.
- Verifies, reviews, and distributes pre-paid / Net30 invoices to clients.
- Organizes and maintains filing cabinets.
- Consults with clients after their order to provide ongoing support.
Other Duties:
- Assists our shipping department by fulfilling small, lightweight orders / preparing for shipping.
- Maintains working knowledge of products, services and procedures.
- Performs other related duties as assigned by administration.
Required Qualifications & Skills:
- Strong organizational skills; able to self-manage priorities and incoming work-flow.
- Able to take / initiate phone calls and emails, prioritizing excellent customer service with a high level of professionalism.
- Ability to work in a team setting.
- Knowledge of MAC computers and Google Workspace products.
- Acute attention to detail.
Job Type:
Part Time, Monday - Thursday. Estimated baseline hours for this role is between 16-20 per week.
