Job Description
Summary/Objective
The Office Administrator is a supervisory administrative job with responsibility for multiple support functions for office support, telecommunications, mail, security, computer support, human resources, and customer service requirements. Aids the Site Manager, CLS Manager, and Program Manager in contract administration requirements and day-day tasks. This role may manage Secretary personnel.
Essential Functions

- Provides guidance or handles differing situations, problems, and deviations in the work of the office according to the supervisor's general instructions, priorities, duties, policies, and program goals. Supervisor may assist secretary with special assignments.
- Coordinates and manages all aspects of the Barksdale AFB simulator schedules with the B-52 squadrons and program operations.
- Oversees and deconflicts simulator and program staffing schedules on a weekly basis.
- Forecasts simulator and staffing demands with the customer and program leadership.
- Identifies administrative needs and develops appropriate solutions or recommendations.
- Analyzes procedures and workflow of a division or program, and recommends improvements in such areas as purchasing, accounting, budget development, and administration.
- Ensures use of company templates and quality standards in internal and outgoing correspondence for consistency and conformance with standard operating procedures, quality standards, and office protocol.
- Coordinates collection and preparation of operating reports such as time and attendance records, terminations, new hires, transfers, budget expenditures, and other statistical records for contract reporting of CDRLS, and financial performance data.
- Support disseminations of Company-wide communications through appropriate Company channels (email, employe portal, etc.).
- Provide general information and support on HR policies and procedures, facilitating communication between employees and Corporate Human Resources.
- Reviews and answers correspondence as directed by management consistent with standard operating procedures.
- Schedules services such as computer and office equipment maintenance and repair, supplies, mail, and files, and coordinates procurement for supplies as required through Company policy and procedures.
- May act as backup to Configuration Manager for access control, emergency response, incident management, and other security protocols as instructed.
- Performs other related duties as assigned.
Competencies
Required skills and abilities to effectively perform this position include, but are not limited to:
- Ability to work in various systems, creating integrated reports for financial and HR analysis, manage project-related documents, and present data to management.
- Proficiency in MS Office (word processing, spreadsheet, presentation software) and database usage, with increasing levels of complexity based on experience.

Education and Experience
- Bachelor’s degree in business or related discipline. An equivalent combination of education and years of experience may be considered in lieu of formal education requirements.
- 3-8 years progressive office administration experience or equivalent education and, human resources, procurement, and other related support services in a government contracts project management office environment.
Preferred Education and Experience
- Experience with supervision of personnel providing administrative services.
- Previous experience working within a DoD environment.
Supervisory Responsibility
This position may have authority or responsibility for the leadership and supervision of others.
Work Environment, Programs, and Tools
While performing the duties of this job, the employee works in a relatively quiet office setting with the use of office equipment and interaction with other employees. The noise level in the work environment is usually very low. This position will also require walking/stooping, lifting/bending, using eye acuity, using hands/fingers to grasp or type, and listen.
This position will also require the individual to use the following tools, equipment, or programs: Computer, Microsoft Teams, Microsoft Office suite, Deltek Costpoint, printers, fax machines, phones.
Position Type/Expected Hours of Work
This position will be on site at Barksdale AFB, LA and will require adherence to the Government site hours of operation. This position is a part-time hourly non-exempt position, expected to work no more than 25 hours a week. This position may require evening/weekend work and work outside of the Government site hours of operations when Program support is needed.

Must have an active DoD Secret Personnel Security Clearance or the ability to obtain one within the first 6-months of employment.
