The Office Administrator manages a wide range of tasks to provide administrative and operational support for the designated office location. This position reports to the Partners and other Principals and Managers in the local office.
Essential Duties & Responsibilities
- Track office expenses and submit for reimbursement using ERP system.
- Organize office meetings, set-up necessary presentations and equipment needed.
- Organize travel for employees. Track corresponding expenses and submit for reimbursement.
- Assist recruiting and on-boarding new staff and interns. Includes setting up interviews, new hire paperwork and distributing necessary IT equipment.
- Plan and coordinate office events including office wide parties and lunches.
- Maintain budgets for office wide parties, lunches and other office expense. Including keeping a history of per person costs associated with those events.
- Keep office organized and in good repair by interfacing with building management. Utilize landlord’s on-line system for any necessary work in office suite.
- Serve as the key contact with MIS including coordinating troubleshooting on office IT equipment.
- Assist professional staff with non-billable tasks including proposals, presentations and billing.
- Process tax returns for partner signature and deliver to clients and taxing authority
- Place orders to keep office and kitchens properly stocked with snacks, beverages and office supplies.
- Track and obtain payment or reimbursement of various sponsorship ads and related activities.
- Requires strong skills in word, excel, outlook & power point.
- Ability to learn ERP system to submit expenses and assist professional team with billing
- Must be detail oriented and willingness to take ownership of various tasks.
- Able to track open tasks and prioritize appropriately.
- Strong verbal and written communication skills

- Compensation: $55,000 - $60,000 depending on experience. More is possible if experience dictates.
